Contingent Workforce Program Coordinator (Temporary)

Duration: Approximately 4 months

Hours: Full-time, 40 hours/week (Monday–Friday)
Reports To: Talent Acquisition Leadership
About the Role
We are seeking a Contingent Workforce Program Coordinator with experience supporting enterprise contingent labour programs and Vendor Management Systems (VMS). This fully remote, temporary role will manage the administrative lifecycle of the North American contingent workforce, acting as the central liaison between hiring managers, staffing agencies, Talent Acquisition, Finance, and external vendors.
This role is ideal for candidates with experience in Beeline VMS, MSP environments, and contractor workforce administration who excel in high-volume, fast-paced settings.
Key Responsibilities
Hiring Manager & Supplier Liaison
- Educate hiring managers on contingent hiring processes, including Beeline requisition creation, interview expectations, and onboarding compliance
- Act as the primary point of contact for 45+ staffing agencies, coordinating candidate submissions, interview scheduling, feedback, and role requirements
- Support offer management, including negotiations on pay rates, start dates, and contract terms in alignment with hiring manager guidance
Timesheet & Program Administration
- Manage a high-volume support queue (approximately 40–60 daily emails and 2–5 weekly service tickets) related to VMS access, workflow issues, and contractor inquiries
- Provide ongoing support to 230+ active contingent workers and 130+ hiring managers on timesheets, approvals, edits, and end-of-week submissions
- Resolve urgent onboarding, system access, and compliance issues to prevent delays in contractor start dates
Finance & System Collaboration
- Partner with Finance and Accounts Payable to support cost center updates, reporting, and vendor payment research (including invoices over 90 days)
- Collaborate with Beeline VMS support in weekly meetings to resolve open system tickets and program issues
Qualifications & Skills
- Hands-on experience with Vendor Management Systems (VMS) such as Beeline (strongly preferred)
- Experience supporting contingent workforce programs, contract labour, or MSP-managed environments
- Strong understanding of staffing agency operations, supplier management, and compliance requirements
- Excellent organizational, communication, and stakeholder management skills
- Proven ability to troubleshoot complex workflows (e.g. inactive approvers, stalled timesheets, system access issues)
- Comfortable managing high-volume, operational workload in a fully remote environment

- Pay Rate: Up to $24.62/hour + 4% vacation pay
