Job Description

As a Payroll Specialist in the Payroll / Finance department of a Healthcare Staffing company based in Noida, you will play a crucial role in managing end-to-end payroll operations for US healthcare staffing employees, including nurses, clinicians, and allied staff. Your responsibilities will include collecting and validating timesheets, processing weekly/bi-weekly payroll, maintaining accurate payroll data in ADP and other systems, and ensuring compliance with US payroll regulations. You will be responsible for calculating wages, managing benefits and deductions, resolving payroll discrepancies, and responding to employee queries promptly. Additionally, you will extract and analyze data from timekeeping systems, handle off-cycle payments, and support payroll onboarding and offboarding activities. Your attention to detail, numerical skills, and knowledge of US payroll taxes and compliance will be essential for success in this role.

Key Responsibilities:

  • Collect and validate timesheets for healthcare professionals such as nurses and clinicians
  • Process weekly/bi-weekly payroll for US healthcare staffing employees
  • Enter and maintain payroll data in ADP and other payroll systems
  • Perform payroll preview and final processing with a focus on accuracy
  • Calculate wages based on hours worked, shifts, overtime, and bill/pay rates
  • Ensure accurate deduction of US taxes (Federal, State, FICA, Medicare)
  • Manage benefits, 401(k) contributions, and other payroll-related deductions
  • Handle off-cycle payments, including termination pay and adjustments
  • Maintain payroll records and ensure compliance with US labor laws and regulations
  • Resolve payroll discrepancies, including timesheet issues and pay variances
  • Respond to employee payroll queries in a timely and professional manner
  • Extract and analyze data from timekeeping systems and ADP reports
  • Manage garnishments, benefit deductions, and refunds
  • Handle overpayments and recovery processes
  • Support onboarding and offboarding payroll activities
  • Perform data audits and ensure the integrity of payroll data

Qualifications Required:

  • Bachelors degree in Accounting, Finance, or a related field
  • 25+ years of experience in US payroll, preferably in healthcare staffing
  • Hands-on experience with ADP payroll system
  • Strong understanding of US payroll taxes and compliance
  • Proficiency in Microsoft Excel
  • Strong numerical and analytical skills
  • High attention to detail and accuracy
  • Good communication and interpersonal skills

Preferred Qualifications

  • Experience in US healthcare staffing payroll
  • Familiarity with multi-state payroll processing
  • Exposure to timekeeping systems such as E-time or similar
  • Understanding of shift differentials, overtime, and compliance in healthcare payroll
