The Center of Excellence part of our Global Business Services divisions supports our worldwide sourcing and procurement activities. The activities managed within the CoE are deal support, PR to PO process, reporting & analytics, contract management, tooling support & administration and customer & buying experience services.
We are looking for someone with an interest in learning various aspects of procurement operations including a knack of providing excellent customer experience to our internal and external stakeholders.
The candidate would spend time of minimum three-six months on each sub-function and learn various aspects of purchasing and contract lifecycle management and expected to provide ideas and brainstorm with colleagues in the following areas:
- Process improvement
- Enhanced customer service
- Transaction quality
Job Description
Business Title: Purchasing and Procurement Associate
The associate is responsible to enable the internal Business Partner to comply to Contract related accountabilities, to maximize the benefit of the agreement & ensure continuous adaptation of the contract to the changing status quo.
Roles & Responsibilities:
Key accountabilities:
Calendar planning & renewal
- Work on transactions for assigned sub-function such as procurement helpdesk, contract administration, procurement operations, sourcing support, catalog management, etc.
- Create contract records and route contracts for approvals and execution
- Add/Update metadata and alerts for contracts
- Ensure timely approval and execution of contracts
- Collaborate with internal teams and stakeholders on contract renewals and requisition review
- Abstract and migrate contracts into contract repository
- Maintain business documents – Contract repository and any supporting documents for purchase
- Contribute to SOPs and workflows for process documents
- Manage adhoc projects and queries related to contract search/analysis
- Highlight and escalate roadblocks/bottleneck for any processes/requests
- Suggest and contribute to process improvement initiatives
Key competencies:
- Hands on experience in Coupa and/or alternative tools e.g., Icertis, Ariba, SAP, Oracle
- Experience with E-signature tools like Adobe Sign, DocuSign is preferred
- Candidates with procurement experience and reading, understanding of commercial contractual terms and conditions experience is necessary
- Proven strong analytical ability to solution problems and drive results
- Knowledge of procurement and customer services processes
- Ability to collaborate, build trusted relationships with, and drive action among cross-functional teams and SMEs
- Strong process acumen
- Great network orchestrator, energetic and team spirit
- Strong interpersonal and communication skills
- Knowledge of Microsoft Office and relevant IT tools
Other duties:
- Proactively pursues professional development activities (e.g., reviewing professional publications, establishing personal networks)
- Manages time and company resources appropriately
- Performs other duties as requested by senior leadership
Education And Experience
Minimum: Bachelor’s Degree in any discipline, while a law degree is not a prerequisite, candidates with a legal background will be given preference.
Minimum Experience: 1-2 years of contract management experience managing internal/external relationships, including:
- Collaborating with cross-functional international stakeholders across the company
- Collaborating with people from a variety of diverse backgrounds and cultures
- Collaborating with multiple internal teams
- Demonstrating excellent written and verbal communication
- Demonstrating organizational, time management, and multi-tasking skills
- Utilizing the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams, etc.)
Shift timings
- Candidates should be willing to work from office (3 days a week) and flexible in working multiple shifts to support other offices of Wolters Kluwer, shift timings mentioned below
- 3 pm IST to 12 am IST
- 6 pm IST to 3 am IST
