Purpose of the Freight & Logistics Co-ordinator

The Freight & Logistics Coordinator is responsible for overseeing the full lifecycle of international and domestic shipments, ensuring cargo moves efficiently, compliantly, and on schedule. This position requires strong coordination across carriers, Customs brokers, clients, and internal teams, with a focus on accurate documentation, regulatory adherence, and exceptional customer service. The successful candidate will bring solid freight forwarding knowledge, strong organisational skills, and the ability to thrive in a fast‑paced logistics environment.

Key Responsibilities of the Freight & Logistics Co-ordinator

Shipment Coordination

  • Manage end‑to‑end import and export movements across air, ocean, and road.
  • Arrange bookings with carriers, trucking partners, and warehouses, ensuring timely collections and deliveries.
  • Track cargo milestones within internal systems and maintain accurate, real‑time status updates.

Documentation & Compliance

  • Raise Prepare, verify, and process all required shipping documents, including commercial invoices, packing lists, bills of lading, airway bills, and certificates of origin.
  • Support Customs clearance activities and ensure all documentation meets U.S. Customs and international trade requirements.
  • Maintain compliance with relevant regulatory frameworks such as ITAR, EAR, and other applicable trade controls.

Communication & Customer Support

  • Serve as a daily point of contact for clients, overseas agents, carriers, and Customs brokers.
  • Provide proactive shipment updates, resolve exceptions, and troubleshoot delays or discrepancies.
  • Deliver a high standard of customer care, ensuring clear, timely, and professional communication.

Operation & Financial Coordination

  • Collaborate with operations and accounting teams to ensure accurate billing, cost allocation, and margin control.
  • Identify and address service issues promptly to maintain smooth cargo flows and client satisfaction.

To be Considered for the Freight & Logistics Co-ordinator

  • Established proficiency in preparing and submitting compliant Customs entries (Essential)
  • Familiarity with Descartes IES (Desirable)
  • Strong written and verbal communication skills
  • Excellent interpersonal skills and a customer‑focused approach.
  • Proficient in Microsoft Office applications and comfortable using databases and web‑based systems.
  • Highly organised, detail‑oriented, and able to prioritise workload in a team environment.
  • Positive, professional attitude.
  • Must be authorised to work in the United States
