Medical Secretary/Clinic Assistant – West Durham Family Health Organization - Primary Care
Job Summary
The Medical Secretary supports the daily operations of a primary care practice by providing comprehensive administrative assistance to physicians and working collaboratively with nurses and other allied health professionals. This role is essential in ensuring coordinated, patient-centered care and efficient clinic workflow in a fast-paced primary care environment.
Key Responsibilities
- Serve as the first point of contact for patients, providing a welcoming and professional experience
- Schedule, confirm, and manage appointments for primary care providers and allied health professionals
- Coordinate patient flow and communication among physicians, nurses and other allied health professionals
- Answer and triage phone calls and electronic inquiries, directing them appropriately
- Maintain accurate, confidential patient records in the electronic medical record (EMR) system – knowledge of TELUS PSS is a bonus
- Prepare and process referrals, medical forms, reports, and correspondence
- Communicate routine test results, follow-up instructions, and appointment reminders as directed by clinical staff
- Assist with 3rd party billing
- Perform general administrative duties including managing multiple phone lines, chart documentation, scanning (EFAX), filing, and document management
- Ensure compliance with privacy, confidentiality, and regulatory standards
Qualifications
- High school diploma or equivalent; medical office administration training preferred
- Experience in a primary care or family practice setting preferred
- Knowledge of medical terminology and primary care workflows
- Experience with EMR systems and scheduling software

Working Conditions
- Office-based within a primary care clinic

- Fast-paced environment with frequent multitasking
- Full-time, 40 hours per week
- Evening and rotating Saturday hours
- $19.00/hr. to start.
