Job Title: Residential Real Estate Private Lending & Mortgage Clerk

About the Role
We are working with a well-established, full-service mid-sized law firm in North York seeking a Residential Real Estate Private Lending & Mortgage Clerk to join its growing real estate group. This role offers the opportunity to work closely with lawyers, lenders, borrowers, and financial institutions on a broad range of residential real estate and private lending transactions in a collaborative, fast-paced environment. The ideal candidate is highly organized, detail-oriented, and experienced in managing residential mortgage and private lending files from opening through to funding and reporting.
Key Responsibilities
Manage residential real estate private lending and mortgage files from inception to completion
Prepare and review mortgage documentation, loan agreements, commitment letters, and related closing documents
Coordinate closings for purchases, refinances, and private mortgage transactions
Communicate directly with lenders, borrowers, brokers, lawyers, and financial institutions regarding file status and outstanding conditions
Conduct title, execution, and off-title searches and review search results
Prepare reporting letters and final reports to lenders and clients
Coordinate mortgage funding and registration processes through Teraview and related platforms
Review and satisfy lender conditions and ensure compliance with regulatory and firm requirements
Maintain accurate file records, diarize key deadlines, and manage closing timelines
Assist lawyers with post-closing matters, discharges, and follow-up documentation
Handle a high volume of files while maintaining strong attention to detail and client service standards
Qualifications
3+ years of experience as a residential real estate or mortgage clerk within a law firm environment
Strong knowledge of residential real estate transactions and private mortgage lending processes in Ontario
Experience using Teraview, Unity, Conveyancer, or related real estate software platforms
Familiarity with title searches, registrations, mortgage documentation, and lender instructions
Excellent organizational and time management skills with the ability to manage multiple files simultaneously
Strong written and verbal communication skills
High level of accuracy and attention to detail
Ability to work independently and collaboratively within a team environment
