Job Title: Part-Time Law Clerk – IME Quality Assurance Specialist
Location: Remote
Employment Type: Part-Time (Flexible Hours)
Role Overview
HavenPoint Health coordinates Independent Medical Examinations (IME) for law firms across Atlantic Canada. This role sits at the center of that process. You'll be the quality gate between our medical assessors and our clients, reviewing every IME report before it goes out to ensure the reasoning is sound, the opinions are supported, and the document will hold up under cross-examination. This isn't a traditional law clerk role supporting lawyers with filings and deadlines. You're the person who makes sure our product is airtight.
Key Responsibilities
Before the Assessment
- Review incoming referrals to ensure the legal questions are clear and answerable
- Assemble complete document packages for assessors, including medical records, clinical notes, and accident-related materials
- Identify gaps in documentation and coordinate with law firms or healthcare providers to obtain missing information
- Match referrals to appropriate assessors based on case requirements and expertise
Quality Review
- Review every draft IME report before delivery to the client
- Evaluate whether the report directly addresses the referral questions
- Assess whether the reasoning is clear, the opinions are adequately supported, and the conclusions follow logically from the evidence
- Flag potential bias, overreach, or opinions that lack sufficient foundation
- Ensure reports align with legal standards and expectations in New Brunswick and Nova Scotia
- Communicate directly with assessors to request clarification, additional reasoning, or revisions when necessary
File Management
- Maintain organized and confidential electronic case files
- Track deadlines and ensure timely progression from referral to report delivery
- Document all communications and file activity for quality assurance purposes
Qualifications & Experience
- Diploma or certificate in Law Clerk/Paralegal Studies, or equivalent experience
- Minimum 5 years of experience in personal injury litigation, insurance defence, or plaintiff-side PI work
- Direct experience reviewing, relying upon, or challenging IME reports in a litigation context
- Strong familiarity with medical-legal terminology and documentation
- Understanding of the legal landscape in New Brunswick and Nova Scotia, including how courts in these provinces treat IME evidence
- Experience preparing or reviewing medical chronologies and case summaries
- Comfortable communicating directly with medical professionals to request clarification or revisions
- Proficiency with case management systems and standard office software
Key Competencies
This role is a good fit if:
- You've developed an instinct for what makes a medical-legal document strong or weak
- You're not intimidated by pushing back on a physician's work when it needs improvement
- You can synthesize complex medical information and explain why something doesn't add up
- You take ownership of your files and don't wait to be told what needs doing
- You're rigorous about details but can still move efficiently through volume
- You handle confidential information like it's your own reputation on the line
- You thrive working independently and don't need constant direction
Working Conditions
- Flexible part-time hours (5–20 hours per week)
- Remote or hybrid work environment
- Competitive hourly rate based on experience
