Job Summary
The Manager of Secretaries manages the overall operations of the Support Services Department and the day-to-day delivery of secretarial and administrative support services to clients.
Job Responsibilities
- Oversees the Support Services Department and takes an active role in planning and implementing departmental goals and objectives with the assistance of the Support Services Supervisor.
- Meets regularly with the Support Services Supervisor to monitor workflow of all department staff, ensuring the most appropriate resources are utilized, customer needs met, and adequate coverage/support is provided.
- Conducts regular follow-up communications with customers regarding service quality.
- Continually evaluates and improves existing and new programs and services to increase cost-effectiveness, quality and efficient use of resources.
- Provides oversight in the maintenance of the Support Services Intranet page.
- Reviews monthly metrics for integration, tracks trends, and recommends changes as appropriate.
- Reviews and approves attorney/secretary assignments.
- Supervises and develops Client Services Secretaries and members of the ASG.
- Evaluates staff training and development needs and implements programs to address the needs.
- Oversees Support Services training for all new secretaries.
- Conducts employee performance development reviews.
- Provides administrative and technical direction to the Support Services staff.
- Actively participates in the recruitment, orientation and ongoing development of Support Services staff by participating in interviewing and selection process.
- Continually identifies ways and means to reduce costs of operations while increasing service, timeliness and quality.

- Strong interpersonal and communication skills (both verbal and written)
- Possess sound influence and negotiation skills.
- Ability to conceptualize, organize, plan, implement and evaluate programs and services.
- Ability to develop and maintain effective business relationships across all levels of the firm.
- Ability to analyze qualitative and quantitative data to create information, which is meaningful to management.
- Strong knowledge and proficiency in Microsoft Office Suite.
Education
This position requires a bachelor's degree. A master’s degree may substitute for some work experience. Equivalent training and experience may substitute for education.
Experience
The position requires a minimum of five years of increasingly responsible, directly related experience. Management or supervisory experience preferred.
