The firm is internationally recognized for its representation of Fortune 500 companies in high-stakes litigation and government-facing matters, as well as its ongoing commitment to pro bono service and diversity, equity, and inclusion.</p></div><p><strong><u>Job Summary</u></strong></p> <p>The Manager of Secretaries manages the overall operations of the Support Services Department and the day-to-day delivery of secretarial and administrative support services to clients.</p> <p><strong><u>Job Responsibilities</u></strong></p> <ul> <li>Oversees the Support Services Department and takes an active role in planning and implementing departmental goals and objectives with the assistance of the Support Services Supervisor.</li> <li>Meets regularly with the Support Services Supervisor to monitor workflow of all department staff, ensuring the most appropriate resources are utilized, customer needs met, and adequate coverage/support is provided.</li> <li>Conducts regular follow-up communications with customers regarding service quality.</li> <li>Continually evaluates and improves existing and new programs and services to increase cost-effectiveness, quality and efficient use of resources.</li> <li>Provides oversight in the maintenance of the Support Services Intranet page.</li> <li>Reviews monthly metrics for integration, tracks trends, and recommends changes as appropriate.</li> <li>Reviews and approves attorney/secretary assignments.</li> <li>Supervises and develops Client Services Secretaries and members of the ASG.</li> <li>Evaluates staff training and development needs and implements programs to address the needs.</li> <li>Oversees Support Services training for all new secretaries.</li> <li>Conducts employee performance development reviews.</li> <li>Provides administrative and technical direction to the Support Services staff.</li> <li>Actively participates in the recruitment, orientation and ongoing development of Support Services staff by participating in interviewing and selection process.</li> <li>Continually identifies ways and means to reduce costs of operations while increasing service, timeliness and quality.</li> </ul> <p><strong><u>Knowledge, Skills and Abilities</u></strong></p> <ul> <li>Strong interpersonal and communication skills (both verbal and written)</li> <li>Possess sound influence and negotiation skills.</li> <li>Ability to conceptualize, organize, plan, implement and evaluate programs and services.</li> <li>Ability to develop and maintain effective business relationships across all levels of the firm.</li> <li>Ability to analyze qualitative and quantitative data to create information, which is meaningful to management.</li> <li>Strong knowledge and proficiency in Microsoft Office Suite.</li> </ul> <p><strong><u>Education</u></strong></p> <p>This position requires a bachelor's degree. A master’s degree may substitute for some work experience. Equivalent training and experience may substitute for education.</p> <p><strong><u>Experience</u></strong></p> <p>The position requires a minimum of five years of increasingly responsible, directly related experience. Additional compensation may include a discretionary bonus.
