Executive Assistant
Location: Toronto, Ontario, 5 days in office
We are partnering with a leading investment organization to identify a highly capable Executive Assistant to support a senior executive. This position is ideal for someone who excels in a fast-moving environment and brings a high level of professionalism, discretion, and adaptability to their work.
The Opportunity
In this role, you will operate as a trusted partner, ensuring the executive’s day-to-day activities run seamlessly. You will play a critical role in managing priorities, coordinating engagements, and enabling efficiency across both professional and personal commitments. Success in this position requires strong judgment, attention to detail, and the ability to anticipate needs in a constantly evolving environment.
What You’ll Be Responsible For
- Overseeing a complex and ever-changing schedule, ensuring alignment across meetings, commitments, and key priorities
- Coordinating domestic and international travel, including detailed itineraries and contingency planning
- Planning and supporting a range of events and engagements, including internal meetings and external functions
- Managing logistics related to personal matters, appointments, and household coordination with a high degree of discretion
- Acting as a key point of contact, handling communications and correspondence on behalf of the executive
- Streamlining administrative processes and introducing efficiencies to support overall productivity
- Maintaining organization across multiple workstreams while ensuring deadlines and deliverables are met

- Strong organizational skills with the ability to manage competing priorities effectively
- Experience coordinating travel, events, and complex scheduling requirements

- A proactive mindset, with the ability to anticipate needs and solve problems independently
- Proficiency with standard business tools and systems (e.g., calendars, document management, expense tracking)
