Join our dynamic event team as an Events Coordinator for the University of Manitoba’s 150th Anniversary and play a key role in delivering once‑in‑a‑lifetime experiences for our UM community and Manitobans.

This term position will lead the execution of the anniversary Photo Mosaic, Bisons Give Back and Billy on the Road programs taking place in 2027. Alongside the wider events team, the coordinator will also support the full suite of anniversary programs and experiences – working collaboratively with amazing partners across our campuses and in the community.

Qualifications

MINIMUM FORMAL EDUCATION/TRAINING:

  • Undergraduate degree in a related field such as event management, tourism, hospitality is required.
  • Valid Manitoba driver’s license and acceptable driver record is required.

EXPERIENCE

  • Minimum two years of experience in event coordination or administrative support, preferably in a nonprofit, academic, or corporate setting required.
  • Experience supporting the planning and execution of events, including logistics coordination and vendor communication required.
  • Experience with updating website content is required.
  • Experience with and comfortable driving on highways are required.
  • Familiarity with event documentation, scheduling and setup/teardown procedures are required.
  • Experience working with volunteers or event staff is an asset.
  • Exposure to technical event or AV coordination is an asset.
  • Experience with CRM systems (e.g., Raiser’s Edge) or event management software is an asset.
  • An acceptable equivalent combination of education and experience may be considered.

SKILLS AND ABILITIES:

  • Upbeat energy and comfort leading public activations required.
  • Strong attention to detail and organizational skills required.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms (e.g., Zoom, Teams) is required.
  • Excellent written and verbal communication skills are required.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment is required.
  • Strong interpersonal skills and a collaborative team mindset is required.
  • Ability to follow direction and work independently when required.
  • Comfortable interacting with a wide range of stakeholders, including students, staff, volunteers and external vendors is required.
  • Willingness to learn and adapt to new tools, systems and processes is required.
  • Ability to maintain confidentiality and professionalism in all interactions is required.
  • Physical ability to set up and tear down event assets: lift and set up signage, canopy tents, event supplies (upwards of 25lbs) are required.
  • Physical ability to be on feet for extended periods on event days upwards of 10-15 hours or longer are required.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.

OTHER JOB RELATED QUALIFICATIONS:

  • To be able to work flex hours, work weekends and evenings when required.

Key responsibilities

  • Lead coordination of the following anniversary events:
  • Photo Mosaic – online program where participants submit photos that form a collective image, Managing the online platform, engagement, any associated events or mosaic event activations, and executing the unveiling of the installed mosaic on campus
  • Bisons Give Back – UM is asking the community to complete 150 acts of kindness or service in the community. Managing the submissions, responding to inquiries, managing supplies, attending key events
  • Billy on the Road – summer 2027, hitting the road with UM’s mascot Billy attending Manitoba festivals and events spreading Bison pride. Booking festivals, arranging travel and marketing elements, attending festivals with Billy
  • Implementing event plans, timelines and logistics, for program events and activities
  • Conduct research and compile options for venues, vendors and event materials.
  • Coordinate event logistics such as catering, décor, transportation and equipment set up under the direction of the Senior Events Officer: 150th Anniversary Celebrations.
  • Liaise with vendors and service providers to confirm event details and schedules.
  • Assist with on-site event setup, execution and teardown.
  • Ensure compliance with university policies and health and safety guidelines during events.
  • Support the preparation of post-event evaluations and feedback collection.
  • Help draft and distribute event-related communications and promotional materials.
  • Maintain organized records and documentation for each event.
  • Assist in the coordination and execution of all events related to the University of Manitoba’s 150th Anniversary celebrations.
  • Attend planning meetings and take notes to support follow-up actions.
  • Assist in coordinating meetings for the 150th Anniversary working group and other stakeholders.
  • Help gather feedback from campus partners and incorporate it into planning documents.
  • Support the Senior Events Officer in tracking progress toward event milestones and deliverables.
  • Prepare and update event project plans and checklists.
  • Assist with data entry and guest list management using Raiser’s Edge or other registration tools.
  • Coordinate the production and distribution of print and digital materials.
  • Maintain shared folders and ensure all event documentation is current and accessible.
  • Assist in scheduling and coordinating volunteers and event staff.
  • Provide on-site support and direction to volunteers during events.
  • Help with volunteer recognition efforts and documentation.
  • Other duties as assigned.
