Main Purpose of Job
Main purpose of this position is to provide full performance level of work using independent judgment and analysis by applying and interpreting rules and regulations in accordance with the unit's laws and policies.
POSITION DUTIES
Reviews, verifies, and interprets information in records, applications, and other documents by using knowledge of agency policies and procedures to determine if appropriate procedures have been followed and to resolve problems. Assist in the process and issuance of work permits, MPIA requests, or other documents pertinent to the multiple programs in the unit. Answer telephone calls and perform intake of complaints.\r\n\r\n\r\nAssists in the preparation of final reports and suggests recommendations for the improvement of the agency or its programs. Consult with program heads and administrative officials regarding policies, trends, data interpretation, and program needs. Research and compile data as directed, including preparing statistical tables, charts, and reports; workflow charts; staffing patterns; and organizational charts.\r\n\r\n\r\n\r\n\r\nAssist the unit in planning and implementing new or revised programs, procedures, practices, and organizations. Provide assistance to the unit administrator in the formulation and preparation of an agency's budget, or portions of the budget. Responsible for unit purchasing/FMIS processing and vendor payment verification. Open and disseminate mail. Ensure checks are properly endorsed, prepare check transmittals, and maintain financial records that do not require knowledge of bookkeeping or accounting. Updates and maintains files, logs, schedules, rosters, and records, and composes routine correspondence for multiple programs within the unit: Worker Classification Protection Unit, Prevailing Wage Unit, Living Wage Unit, and Employment Standards Service Unit, including Innkeepers certification. Use computer software applications to enter, edit, validate, search, retrieve, and update information. Type correspondence, reports, schedules, and other material using a typewriter, computer, or word processor.\r\n\r\n\r\n\r\nPerforms other duties as assigned.\r\n\r\n
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.\r\nExperience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work.\r\nNotes:\r\n1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.\r\n2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.\r\n
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.\r\n\r\n\r\nExperience maintaining electronic databases, tracking systems, or records management systems and ensuring the accuracy and completeness of program records and files and experience supporting administrative or fiscal operations, including processing purchases, verifying vendor payments, maintaining financial records, or assisting with budget-related activities. \r\n\r\n\r\n\r\n\r\nExperience using Google Applications/Workspace and Microsoft Office Suite. \r\n\r\n\r\nExperience handling confidential or sensitive information in a professional or government setting, including maintaining privacy, following applicable confidentiality policies and procedures, and exercising discretion when accessing, storing, or sharing protected information.\r\n\r\n\r\n
SPECIAL REQUIREMENTS
Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.\r\n\r\n\r\nAll candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (LABOR/DUI) to determine whether any monies are owed to LABOR/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.\r\n
