The ideal candidate will bring 15+ years of EPC procurement experience, a strong pan-India vendor network, and the ability to build and implement system-driven procurement processes from the ground up.

KEY ROLES & RESPONSIBILITIES

A. Procurement Strategy & Planning

  • Prepare project-wise procurement plans (BOQ-based) aligned with project timelines and execution schedules.
  • Develop annual procurement strategies including rate contracts, bulk purchasing, and strategic vendor locking.
  • Coordinate with Planning, Engineering, and Quantity Surveying teams for accurate material forecasting and demand planning.
  • Align procurement activities with project cash flow requirements and financial planning cycles.

B. Vendor Development & Management

  • Identify, evaluate, onboard, and continuously develop MEP vendors covering Electrical, Plumbing, HVAC, and allied trades.
  • Build and maintain a dynamic Approved Vendor List (AVL) with a structured performance rating and review system.
  • Lead high-level vendor negotiations on pricing, credit terms, delivery schedules, and contractual obligations.
  • Enforce vendor discipline, ensure statutory and legal compliance, and manage escalations and disputes.

C. Purchase & Contract Management

  • Finalise Purchase Orders (POs) and Work Orders (WOs) with comprehensive, legally sound terms and conditions.
  • Implement and maintain an Annexure-based PO system ensuring clear separation of Scope of Supply and Commercial T&Cs.
  • Monitor end-to-end order execution including dispatch planning, delivery coordination, and site handover.
  • Maintain contractual protections across all POs/WOs to safeguard the company's commercial interests.

D. Cost Control & Value Engineering

  • Establish and maintain a real-time material cost vs. budget tracking system with variance analysis.
  • Proactively identify and implement cost-saving opportunities through value engineering and alternate sourcing.
  • Support the Finance team in material payment planning and cash flow management.

E. Supply Chain & Logistics Management

  • Plan and coordinate material movement across the supply chain—from vendor dispatch to warehouse to project site.
  • Manage transportation, storage, material handling, and in-transit risk to ensure timely and damage-free delivery.
  • Implement a zero-shortage / zero-overstock strategy across all active projects.

F. Inventory & Warehouse Management

  • Deploy and manage a real-time inventory tracking system across sites and warehouses.
  • Monitor and control slow-moving stock, dead inventory, and material wastage.
  • Ensure accurate GRN processing, inward/outward documentation, and periodic stock audits.

G. Interdepartmental Coordination

  • Collaborate with the Planning team for schedule alignment and material readiness.
  • Work with Engineering for material specifications, technical approvals, and substitution decisions.
  • Coordinate with QS/Billing for BOQ reconciliation and billing linkage.
  • Liaise with Finance for payment cycle management and supplier credit coordination.
  • Support Site Execution teams to ensure uninterrupted material supply throughout the project lifecycle.

H. Reporting & Documentation

  • Submit daily project-wise material status reports to the Managing Director.
  • Lead weekly procurement review meetings with senior management.
  • Provide monthly cost vs. budget analysis and maintain a live Vendor Performance Dashboard.
  • Maintain complete, audit-ready documentation for all procurement records, POs, and contracts.
