Medical Administration - Clinical Specialties & Support Services

Department: Medical Administration

Reporting To: Medical Director / COO / Hospital Administrator

Location: Hospital / Healthcare Facility

Role Purpose

The role is responsible for overseeing and coordinating clinical specialties and support services to ensure smooth hospital operations, optimal resource utilization, high-quality patient care, and compliance with regulatory and accreditation standards.

Key Responsibilities

  • Coordinate and monitor the day-to-day functioning of clinical specialties
  • Ensure efficient utilization of clinical resources and infrastructure
  • Liaise with department heads for staffing, rosters, and service delivery
  • Oversee support services including Diagnostics, Pharmacy, CSSD, Biomedical, Housekeeping, Dietary, and Patient Transport
  • Ensure compliance with NABH, JCI, and statutory regulations (PCPNDT, Biomedical Waste, Fire & Safety, etc.)
  • Monitor clinical KPIs, patient flow, TAT, and service quality indicators
  • Handle patient grievances, escalations, and medico-legal coordination
  • Support implementation of hospital policies, SOPs, and clinical protocols
  • Coordinate internal and external audits, inspections, and accreditation activities
  • Participate in infection control, quality improvement, and patient safety initiatives
  • Work closely with Finance and HR on budgeting, manpower planning, and cost control
  • Prepare administrative and performance reports for management review

Qualifications & Experience

  • MBBS / BAMS / BHMS with a Masters in Hospital Administration (MHA/MBA-HA)
  • 5-10 years of experience in medical administration in a multi-specialty hospital
  • Mandatory exposure to accreditation standards and regulatory compliance

Skills & Competencies

  • Strong leadership and coordination skills
  • Sound understanding of clinical operations and hospital workflows
  • Excellent communication and stakeholder management abilities
  • Problem-solving and decision-making skills
  • Ability to handle patient escalations and conflict resolution
  • Proficiency in Hospital Information Systems (HIS) and reporting tools

Compliance & Ethics

  • Ensure strict adherence to hospital policies, ethical practices, clinical governance standards, and statutory requirements
