Job Description

As the Office Manager at Manulife Services India Pvt. Ltd., you will play a crucial role in overseeing the day-to-day administrative and operational functions of the organization based in Mumbai. Your responsibilities will include managing office operations, ensuring compliance with company policies, providing support to leadership and staff, and contributing to the seamless business operations.

Key Responsibilities:

  • Office Administration:
  • Manage overall office operations, including facilities, maintenance, and vendor coordination.
  • Ensure compliance with health, safety, and security standards.
  • Oversee procurement of office supplies and equipment.
  • Program Management Support:
  • Monitor and manage key workstreams, including coordinating meetings and overseeing program deliverables.
  • Travel & Logistics:
  • Manage travel arrangements, accommodation, and related logistics for employees and visitors.
  • Oversee transportation services if applicable.
  • Vendor & Contract Management:
  • Liaise with external vendors for various services and negotiate contracts for quality and cost efficiency.
  • Budget & Expense Management:
  • Prepare and manage office administration budgets and track related expenses.
  • Employee Support & Engagement:
  • Coordinate onboarding logistics for new employees and organize office events and engagement activities.
  • Compliance & Governance:
  • Ensure adherence to local statutory requirements and company policies and maintain accurate records for audits.

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Management, or related field.
  • 5+ years of experience in office administration or facilities management.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and familiarity with office management software/tools.
  • Knowledge of JIRA preferred and local compliance and regulatory requirements.

Key Competencies:

  • Problem-solving and decision-making ability.
  • Attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities.
  • Strong vendor management and negotiation skills.

This is a contract-to-hire opportunity with a hybrid working model (50/50 on-site and remote) located in South Mumbai. The selected candidate will initially be engaged on a 3-month contractual basis, with the potential to convert into a permanent position with the organization.
