Bookkeeper & Billing Support Specialist

Position Summary

Orbit Enterprises is seeking a detail-oriented and dependable Bookkeeper & Billing Support Specialist to support day-to-day accounting operations across a growing multi-entity business. This role will be responsible for accurate transaction processing, invoicing, reconciliations, payroll coordination, and financial recordkeeping. Duties may evolve based on business needs and organizational growth.

The ideal candidate is organized, proactive, comfortable with deadlines, and able to work accurately in a fast-paced environment.

Key Responsibilities

Accounting Operations

  • Record financial transactions accurately and timely
  • Maintain organized general ledger records
  • Reconcile bank, credit card, and other balance sheet accounts
  • Assist with month-end close processes
  • Escalate discrepancies, unusual transactions, or control concerns promptly

Accounts Payable / Receivable

  • Process vendor invoices and payments in accordance with company approval processes
  • Generate customer invoices accurately and timely
  • Apply incoming payments and credits to the appropriate accounts
  • Follow up on past due balances professionally and consistently
  • Maintain accurate vendor and customer account records

Payroll Support

  • Process payroll data accurately through company payroll systems and established procedures
  • Assist with payroll reporting and supporting documentation

Tax / Compliance Support

  • Prepare sales tax data and filings as assigned
  • Assist with 1099 preparation and year-end reporting processes
  • Maintain organized records for audits, tax filings, and external accountant requests
  • Support established financial processes and maintain records consistent with company policies and applicable requirements

Systems / Administrative Support

  • Use accounting software and spreadsheets effectively
  • Import, review, and categorize financial data accurately
  • Coordinate with management regarding vendor payment terms when needed
  • Support finance leadership with reporting, special projects, and process improvements
  • Maintain confidentiality of sensitive employee, customer, vendor, and financial information

Qualifications

  • 3+ years of bookkeeping, accounting support, or related experience
  • Experience with QuickBooks or similar accounting software
  • Strong Excel and spreadsheet skills
  • High level of accuracy, organization, and attention to detail
  • Ability to manage multiple priorities and deadlines
  • Multi-entity experience preferred

Classification & Schedule

This position is intended to be a non-exempt, hourly role, eligible for overtime in accordance with applicable law, unless otherwise designated based on final duties and compensation structure.

Pay: $25.00 - $30.00 per hour
