Position Overview
We are seeking a versatile, results-driven IT & Marketing Automation Specialist to manage and optimize the technical and promotional ecosystem of our medical practice. You will be responsible for the "Conversion Flow"—ensuring that every marketing dollar spent results in a scheduled appointment through sophisticated automation and high-intent digital advertising. This is a hybrid role requiring technical expertise in Zapier and API integrations, alongside strategic management of Google Ads and Meta campaigns.
Key Responsibilities
1. Digital Marketing & Ad Management
- Performance Marketing: Manage and optimize Google Ads and Meta Ads Manager (Facebook/Instagram) to drive high-volume patient leads.
- Offline Conversion Management: Implement and maintain systems to track "offline" patient conversions (phone calls, in-person consultations) and feed that data back into ad platforms to improve ROI.
- Traditional Marketing: Oversee the design and placement of print advertisements and other non-digital marketing collateral as needed.
2. "Conversion Flow" & Automation (The Zapier Expert)
- Workflow Integration: Design and manage complex Zapier workflows triggered by our EMR (Medent) and Acuity Scheduling.
- Patient Communication: Automate a multi-channel reminder system including SMS, Email, and IVR (Integrated Voice Response) to ensure high show rates.
- Lead Response: Create automated, instant-reply systems for web forms and phone contacts to ensure no lead goes unanswered.
3. Practice Management IT Support
- Infrastructure Maintenance: Provide technical support for clinic hardware and software.
- RingCentral Management: Manage our RingCentral phone system, including IVR routing and call queue optimization.
- Data Integrity: Ensure seamless data flow between Google Sheets, Zapier, and our scheduling systems.
Required Qualifications
- Experience: 3+ years in a technical IT role with a heavy focus on digital marketing or marketing operations.
- Technical Stack: Expert proficiency in Zapier, Google Ads, Meta Business Suite, and EMR systems (Medent experience is a major plus).
- Automation Mindset: Proven ability to build "if-this-then-that" systems that reduce manual workload for front-desk staff.
- Analytical Skills: Ability to analyze conversion data and adjust marketing spend based on patient acquisition costs.
