Job Title: Senior Administrative Specialist (Full time in person position)

Agency: National Organization of Black Law Enforcement Executives

Reports To: Deputy Director

Location: Alexandria, Virginia

Job Type: Full-Time

Salary Range: $49,064.00-$50,900.00

The Senior Administrative Specialist will play a critical role in supporting key operational functions, including finance, membership services, conference registration, and exhibits. This position requires a highly organized and proactive individual capable of managing multiple priorities with strong attention to detail. Responsibilities include performing a variety of clerical and administrative tasks, providing direct support to the Executive Director and Deputy Director as needed and contributing to the development and execution of projects and programs that recognize and support members' academic and professional achievements. The ideal candidate will possess exceptional administrative skills, a commitment to excellence in education, and the ability to effectively manage competing priorities in a dynamic environment.

Our organization serves as the conscience of law enforcement being committed to justice by action. We have 60 chapters and represent over 4,800 members worldwide which includes chief executive officers and command-level law enforcement officials from federal, state, county, municipal law enforcement agencies, and criminal justice practitioners.

Key Responsibilities

Chapter and Membership Support During Open Enrollment (30% - November through March):

  • Assist the Membership Manager during the open enrollment membership drive by entering data, responding to inquiries, processing applications, and maintaining accurate data membership records.
  • With the Membership Manager coordinates and manages membership communication campaigns, ensuring timely follow-ups and updates to prospective and renewing members.
  • Assist Membership Manager to track and compile membership statistics and reports to support enrollment goals.
  • Create and mail new member and renewal documents

Year-Round Chapter and Member Services Support (10%):

  • Provide ongoing administrative support for membership activities, including database management, member communications, and handling routine member inquiries.
  • Provide backup career center support by posting web ads and invoicing vendors.
  • Assist in organizing member-related events, webinars, or workshops as needed.
  • Maintain accurate and up-to-date member records throughout the year.

Fiscal Office Support (10%):

  • Supervise the Administrative Specialist in preparing, scanning, and reviewing invoices, reconciling accounts, and managing financial password records.
  • Coordinate fiscal documentation workflows, including digital filing, data entry, and preparation of reports for audits or internal reviews.

Key Responsibilities (50%)

  • Communicate with applicants, recipients, and committee members to provide guidance and resolve inquiries.
  • Generate and distribute reports as required, enter and manage data in databases and spreadsheets.
  • Provide backup support to other administrative personnel as needed.
  • Maintain accurate and confidential records of all applications and outcomes.
  • Collaborate with marketing and communications teams to ensure that all promotional materials meet the organization’s standards and appeal to target audiences.
  • Collaborate with internal teams and Vistra to create and distribute a regular membership newsletter, ensuring content is engaging, informative, and aligned with organizational goals.
  • Participate in the planning and execution of the National Conference and CEO Symposium as well as other member-related events and initiatives.
  • Provide administrative support to the Executive Director and Deputy Director as required.
  • Perform other relevant duties as assigned.
  • Must be willing to travel up 15% annually.

Qualifications

  • Bachelor’s degree in business administration, Communications, Education, or a related field.
  • At least 2 years of experience in an administrative role, preferably within a nonprofit,

educational, or membership-based organization.

  • Strong organizational and data management skills, with a high level of attention to detail.
  • Excellent interpersonal and communication skills, capable of working with diverse groups

including law enforcement, government offices, and the public at large.

  • Proficient in Microsoft Office Suite and database management systems.
  • Demonstrated ability to work independently and as part of a team.
  • Experience in managing confidential information with integrity and discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

Position Type/Expected Hours of Work

This is a full-time in person position, located at the NOBLE Headquarters in Alexandria, VA, Monday through Friday, 9:00 AM to 5:00 PM, with occasional weekend work and extended hours during conference preparation and execution.

Travel

Occasional travel is expected for this position- approximately 10 percent.
