We provide specialized liver assessment services, including FibroScan®, at physician offices and healthcare clinics throughout Ontario. Our goal is to deliver exceptional patient care, rapid appointment access, and outstanding service to both patients and referring healthcare providers.

Job Overview

We are seeking a reliable, organized, and professional Medical Office Administrator to join our growing team. This role combines patient scheduling, call and text management, referral coordination, administrative support, and travel to clinic locations to assist with mobile clinic operations.

Schedule

  • Monday to Saturday Regular working hours: 9:00 AM – 5:00 PM
  • Evening on-call availability: 5:00 PM – 8:00 PM

Compensation

  • Starting at $20/hour, based on experience and qualifications
  • Additional on-call compensation
  • Mileage reimbursement for approved business travel outside the GTA
  • Opportunities for performance-based increases and bonuses

Responsibilities

  • Answer and manage incoming phone calls, text messages, and emails
  • Schedule, confirm, and reschedule patient appointments
  • Coordinate referrals with physician offices and clinics
  • Communicate professionally with patients, physicians, and clinic staff
  • Maintain patient records and administrative documentation
  • Assist with billing, reporting, and other office administration tasks
  • Support clinic operations during mobile clinic days
  • Transport equipment and supplies between clinic locations when required
  • Assist nursing staff with administrative and operational support
  • Help ensure efficient day-to-day operations of the organization
  • Maintain accurate patient records, ensuring compliance with privacy regulations
  • Prepare and process insurance claims, billing, and coding as needed
  • Support clinical staff with administrative duties to facilitate seamless patient care delivery
  • Ensure the clinic environment remains organized, clean, and compliant with safety standards

Qualifications

  • Excellent spoken and written English (required)
  • Additional language(s) are considered an asset
  • Previous experience in a medical office, clinic, healthcare administration, customer service, or similar role preferred
  • Experience with EMR systems like Accuro, Oscar, and PS
  • Strong communication, organizational, and multitasking skills
  • Professional telephone manner and customer service skills
  • Comfortable using computers, email, Microsoft Office, and scheduling software
  • Ability to work independently and as part of a team
  • Strong attention to detail and reliability
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Experience coordinating mobile clinics or community health programs is a plus

Requirements

  • Valid Ontario driver's licence
  • Access to a reliable personal vehicle
  • Comfortable driving throughout the GTA and occasionally to locations outside the GTA
  • Ability to lift and transport clinic equipment and supplies
