Job Description

HR & Training Coordinator – Irving Equipment Limited Irving Equipment Limited is a well-established Heavy Lift and Specialized Transport company with a diverse fleet of mobile and crawler cranes, SPMTs, and specialized lifting and transport equipment. With locations in Saint John, New Brunswick; Dartmouth, Nova Scotia; and several other branches across Atlantic Canada, safety, compliance, and people development remain central to our success. Irving Equipment is currently seeking an HR & Training Coordinator to join our team at our Saint John head office. Reporting to the HR Manager, this role supports day-to-day HR operations, training coordination, data integrity, and employee engagement for a safety‑critical, unionized workforce. This position plays a key role in delivering a strong employee experience while ensuring regulatory and client compliance. Responsibilities Human Resources Coordination Support site level talent acquisition initiatives, including day‑to‑day recruitment activities and participation in job fairs. Coordinate and support hourly pre‑hire activities, including onboarding, new hire documentation, and orientation. Maintain accurate employee records across HRIS, personnel files, and training documentation in compliance with privacy legislation. Support hourly performance management processes, including tracking evaluations and documentation. Partner with the HR Manager to support and execute HR initiatives focused on employee retention, engagement, workforce planning, and continuous improvement. Deliver meaningful HR analytics and reporting to support data‑driven decision making. Drive adoption and effective use of HR technology, including HRIS, engagement tools, recognition platforms, and learning systems. Coordinate administration and reporting for service awards, recognition programs, wellness reimbursements, and engagement surveys. Organize and support employee engagement initiatives, such as newsletters, coverall programs, and internal communications. Organize and lead the Social Committee, including planning employee events and site engagement activities. Maintain IT asset logs and support requisition and coordination of IT equipment, cell phones, and access needs. Manage security access cards and access code administration. Coordinate and manage employee travel arrangements while ensuring compliance with established travel policies. Perform other related duties as assigned in support of HR and operational priorities. Training Coordination Track and administer mandatory and regulatory training for employees (e.g., First Aid, Fall Protection, Forklift, etc.). Monitor certifications, licenses, renewals, and expiries to ensure compliance with provincial, federal, client, and internal requirements. Maintain training matrices, competency records, and training calendars for all employees. Coordinate internal and external training initiatives, liaising with training providers, instructors, and regulatory bodies. Support the implementation and ongoing use of a new Learning Management System (LMS), including content set‑up, creation and employee training. Work collaboratively with Health & Safety to support compliance, safety orientations, toolbox talk tracking, and documentation. Qualifications Diploma or degree in Human Resources, Business Administration, Training & Development, or a related field. Experience in construction, crane rental, heavy equipment, or industrial environments is an asset. Knowledge of employment standards, occupational health & safety legislation, and training compliance requirements is an asset. Proficiency with HRIS platforms, Learning Management Systems (LMS), and Microsoft Office (Excel, Word, Outlook). Self starter with a strong sense of urgency, sound judgment, confidentiality, and curiosity for data and analytics. Highly organized with strong attention to detail and documentation accuracy. Effective communicator who can build relationships with both office staff and field personnel. Comfortable managing multiple deadlines, competing priorities, and compliance requirements. Discreet and professional when handling sensitive and confidential employee information. Proactive problem solver with a strong commitment to safety, compliance, and continuous improvement. Flexibility may be required to support training schedules, audits, or operational demands. Valid class 5 drivers license. About Us Founded in 1882, J.D.
