Position Summary
Import/Export Specialist is responsible for ensuring ICU Medical’s US import and export activities are accurate and compliant with all applicable government regulations. This position primarily will be responsible of coordinating the day-to-day export/import activities along with preparing documentation by working closely with ICU Global Trade Compliance, shipping facilities, International Transportation, freight forwarders, and ICU Medical’s Customs brokers in a timely and effective manner.
This role is 100% onsite at out Lancaster, TX facility.
Essential Duties & Responsibilities
- Generate all necessary export related documents including commercial invoices, packing lists, shippers’ letter of instruction and any other document through Oracle ERP system and manually as necessary.
- Develop and modify Global Trade Compliance processes and procedures by collaboration with internal key stakeholders as necessary to minimize compliance risk, under the direction of Global Trade Compliance Supervisor.
- Collaborate closely with ICU Trade Compliance team to determine US HTS and ECCN.
- Manage East and West Coast consolidation movements for RM (Raw Material) and MRO (Indirect Material) materials shipping to CRM and monitor shipment activities.
- Update the KOP CRM log timely, with most current and accurate information
- Use ACE portal to complete necessary EEI filings and run various import/export related reports.
- Review export related documentation completed by Freight Forwarders for accuracy.
- Maintain international shipping documentation required per the company’s record retention policy.
- Perform audit of customs documents for accuracy and formulate an action plan to resolve any discrepancies from initial audit.
- Anticipate and facilitate problem resolution in relation to shipments to avoid operational disruption.
- Shipping/Purchasing/Planning/Service Center for an effective export shipment arrangement.
- Collaborate with the IT department to create continuous improvements on shipping documentation generated through our ERP system.
- Assist with training internal teams on Trade Compliance related regulations and requirements.
- Collaborate with internal Customer Service to achieve the highest levels of customer satisfaction on international orders and provide trade compliance support on current shipments as needed.
- Work on special projects as they arise.
Knowledge & Skills
- Working knowledge of Export document requirements and Incoterms
- Must have effective oral and written skills
- Must possesses critical thinking and excellent problem-solving skills
- Familiarity with HTS and ECCN classifications
- Ability to work independently under minimal supervision
- Must be able to multi-task in a fast-paced environment
- Experienced working with Microsoft applications (Office, Excel, Word)
- Dangerous Goods IATA/DOT certification preferred
- Oracle experience preferred
- Ability to read, write and speak Spanish preferred
Minimum Qualifications, Education & Experience
- Must be at least 18 years of age
- High School Diploma required
- Bachelor’s degree from an accredited college or university is preferred
- Minimum of two (2) years’ experience in import, export, and international shipping
- Knowledge of international trade and Customs regulations, such as Harmonized Tariff Schedule (HTS), customs valuation, preferential/ free trade agreements, and rules of Country of Origin is preferred.
- Working knowledge of Oracle ERP systems preferred

- This is largely a sedentary role.
- This job operates in a professional office environment and routinely uses standard office equipment.
