Inviting applications for the role of Management Trainee/Assistant Manager -Talent Acquisition Specialist — Medium High Complexity | Execution Validation Compliance Support

Role Purpose

This role includes oversight of operational delivery across job posting, interview coordination, offer processing, new hire database maintenance, and pre-joining engagement. You will act as a subject matter expert, ensure service level agreement adherence.

Responsibilities

1. Recruitment & Coordination

  • Manage application questions and create master job templates.
  • Collaborate with client to understand workforce needs and role requirements.
  • Lead sourcing and screening extensively for high volume hiring needs.
  • Manage sourcing and leveraging job portals, social media, referrals, and

headhunting techniques to improve quality of delivery.

  • Review and rank candidates post screening as per the defined criteria.
  • Manage candidate disposition at various stages.
  • Manage offer letters creation, extend offer letter and deliver declines.
  • Manage general queries related to recruitment process.

2. Job Requisition and Posting Execution

  • Process new job requisitions in HR system; validate leader inputs and create job advertisements.
  • Publish vacancies on selected platforms and update postings when position or legal requirements change.

3. Candidate Preselection and Interview Coordination:

  • Screen applications, classify candidates as A/B/C and request missing documents.
  • Schedule first interviews with leaders and candidates; clarify availability and geographic flexibility; send standardized scheduling correspondence and manage rescheduling.

4. Offer Preparation and Onboarding Handover

  • Prepare and send offer letters; verify candidate documents and upload where necessary.
  • Add necessary notes and forward to payroll and leaders for onboarding; revert requisitions when leader corrections are required.

5. Candidate Rejection Handling

  • Process rejects by payroll and manages automated rejection communications to candidates.
  • Maintain candidate records and handle multiple applications appropriately.

6. Candidate Communication and Mailbox Support

  • Handle first level inquiries and candidate specific questions during the application process.
  • Provide email and written support to leaders and candidates.

7. Recruiting Folder and Salary List Maintenance

  • Support creation and annual update of the Recruiting Folder; embed updated salaries and generate QR codes; update folder in ServiceNow.

8. Reporting and Data Management:

  • Prepare monthly and quarterly recruitment KPIs; evaluate leader feedback deadlines and apprentice hiring metrics.
  • Create ad hoc reports and maintain data quality in HR system and Excel.
  • Conduct half-yearly reports on advertising, partnerships, online campaigns, and website performance. Analyse social media, apprentice initiatives, job platforms, and internal employer branding. Create trend updates for monthly meetings

10. Channel and Career Page Support

  • Adjust job postings for position relevant or legal changes; maintain career fair appointments and support Job postings content updates.

11. Social Media Content Creation

  • Edit videos, design posts, and add music for social media engagement.

Working knowledge preferred: ServiceNow; Workday; BMD/HR Suite, SAP Employee Central; Excel; M365; E Mail; MS Teams; Adobe Analytics; SAP ARIBA; AMT; ASES

Qualifications we seek in you!

Minimum Qualifications

  • Bachelor’s degree in HR, Business, or a related field.
  • Prior experience supporting global clients and working across time zones (e.g., Europe) is highly preferred.
  • Hands-on knowledge of Applicant Tracking Systems and onboarding platforms (e.g., BMD/HR Suite, Workday, iCIMS or similar).
  • Proficiency in MS Excel (e.g., VLOOKUP, filters, tracker management) and MS Outlook for daily operations.
  • Good verbal and written communication skills.
  • Willingness to work 5 days from office in client specific shift.

Preferred Qualifications/ Skills

  • Certification in recruitment or talent acquisition.
  • Proven experience in managing high-volume hiring and strategic roles
  • Strong leadership and coaching abilities.
  • Familiarity with enterprise service management tools (e.g., ServiceNow) is essential for this role.
  • Strong preference for candidates with European experience.
  • Analytical mindset with problem-solving skills.
  • Excellent communication and stakeholder management.
