Job Summary
We are looking for a Front Office Executive / Guest Service Associate (GSA) responsible for providing excellent customer service and ensuring a smooth check-in and check-out experience for hotel guests. The role includes handling reservations, assisting guests with inquiries, coordinating with housekeeping and other departments, and maintaining a welcoming front desk environment.
Key Responsibilities
1. Guest Check-In & Check-Out
- Welcome guests upon arrival and assist with check-in and check-out procedures.
- Verify booking details, process payments, and issue room keys.
- Maintain accurate guest records in the hotel system.
2. Guest Assistance & Customer Service
- Handle guest inquiries, requests, and complaints in a professional manner.
- Provide information about hotel services, facilities, and local attractions.
- Ensure guests have a pleasant and comfortable stay.
3. Reservations Management
- Manage room reservations through phone, email, and online platforms.
- Update availability and booking details in the hotel management system.
- Coordinate with travel agents and online booking channels.
4. Coordination with Departments
- Communicate guest requests with housekeeping, maintenance, and food & beverage teams.
- Ensure rooms are ready before guest arrival.
- Coordinate for special guest arrangements and VIP services.
5. Billing & Documentation
- Prepare guest bills, process payments, and maintain transaction records.
- Handle cash, card payments, and billing queries.
6. Front Desk Operations
- Maintain a clean, organized, and professional front desk area.
- Follow hotel policies and ensure security procedures are maintained.
Required Qualifications
- Diploma / Degree in Hotel Management, Hospitality Management, or Tourism.
- 2–5 years of experience in front office operations in a hotel or hospitality environment.
Required Skills
- Strong communication and interpersonal skills.
- Good customer service and problem-solving ability.
- Knowledge of hotel reservation or property management systems such as
- Opera PMS
- IDS Next
- Basic computer knowledge (MS Office, email, reservations systems).
Preferred Skills
- Multilingual communication abilities.
- Experience in luxury or business hotels.
- Professional grooming and presentation.
