Pay Range: $65,000 - $92,000

Position Summary:

The Transportation Manager is responsible for overseeing and coordinating the daily operations of the hub's transportation department. This includes, but not limited to, managing routes, overseeing capacity and reacting to overflow, managing and maintaining the fleet, supervising drivers, payroll, running daily loadout, ensuring compliance with DOT and FMCSA safety regulations, and improving overall efficiency and service levels.

The Transportation Manager plays a key role in cost control, while supporting the highest level of quality and KPI’s. Measured quality items includes, but not limited to, scanning performance, on-time delivery (OTD) performance, financial health of the hub, GPS effectiveness, minimal measured driver safety incidents, crash control through driver education and awareness of the driver pool via a full driver board with minimal turnover.

Key Responsibilities:

  • Plan, organize, and manage the work of subordinate staff to ensure that the work is carried out in a manner consistent with organizational requirements. This ensures, when the Transportation Manager is not on site, the overall operation flows and continues to meet all requirements.
  • Direct activities related to dispatching, routing, and tracking of transportation vehicles (e.g., final mile deliveries, linehaul, or regional routes) by assigning duties and monitoring execution when the Transportation Manager is not in the building.
  • Hire, Train, Develop and hold subordinates accountable to particular metrics by delivering results outlined throughout the day-to-day.
  • Work closely with the administrative team and recruiter.
  • Implement and enforce transportation policies, procedures, and service standards.
  • Manage, mentor, and train drivers, route monitors and dispatchers by managing attendance, conduct and performance.
  • Run attendance reports daily to ensure subordinates are punching in properly.
  • Run time off requests weekly on Mondays to review / approve requests and acquire cost effective coverage.
  • Conduct daily loadout huddles and review performance and safety.
  • Perform quarterly performance touch bases and annual performance reviews.
  • Track and analyze KPIs such as on-time performance, load and delivery scan performance, damage/return tracking, mis-sort tracking and driver board effectiveness, including employee turnover percentage.
  • Maintain and monitor inbound and outbound deliveries.
  • Monitor operations to ensure compliance with safety regulations, company standards, and DOT/OSHA requirements.
  • Supervise and maintain on a daily-basis, the Electronic Logging Device (ELD) compliance-hours of service.
  • Manage vendor/contractor and 1099 relationships for outsourced routes and ensure compliance on all levels.
  • Establish, maintain, and strengthen processing to ensure we are maximizing utilization of low-cost forms of transportation in accordance with our contracts, but not sacrificing quality in the process.
  • Maintain a full driver board and manage attendance according to company policy and leadership expectations.
  • Maintain financial compliance by eliminating open routes and positions and ensuring sufficient coverage using minimal contractor coverage.
  • Report any safety incidents, physical property accidents, freight damages and near misses to Human Resources, your direct Supervisor and the company’s President immediately. This must be completed in real time, with reports following immediately after.
  • Maintain a positive work atmosphere. Keep an open dialog. Take accountability for your team.
  • Maintain accurate and updated inventory of all Company owned and leased equipment.
  • Perform a daily yard check and submit it to the company’s Fleet Manager, no later than 4pm each day. Include Unit number, type of equipment and current condition as well as any reported issues needing attention.
  • Review weekly PM requirements for the location every Monday and develop a plan of execution with the Fleet Manager. The Transportation Manager will then ensure that said plan is implemented, with any support needed by the Fleet Manager.
  • Work with our lessors to assure that a cohesive process of vehicle and equipment repairs is in place by scheduling and coordinating all equipment maintenance. Leverage the Fleet Manager for support.
  • Turn in ALL paperwork for returned units, within 48 hours of turn-in, to Fleet Manager.
  • Perform weekly mileage inspection on Friday’s, reporting findings to the Fleet Manager by 5pm.
  • Perform weekly inspections of cleanliness and paperwork compliance on all power equipment on Wedensday’s, reporting findings to the Fleet Manager by 5pm.
  • Work GEOtab and Lytx compliance reports for the operation daily. Ensure drivers complete logs correctly and on-time. Coach drivers that are not in compliance immediately and review expectations moving forward.
  • Identify top and bottom performers in all safety metrics, recognizing those on top and coaching those who need improvement.
  • Ensure drivers are utilizing fuel cards and toll passes properly. Any misuse of fuel cards must be investigated by the Fleet Manager and reported into the Company’s President & Human Resources Dept.
  • Ensure the driver team is performing pre-trip and post-trip inspections of equipment and report issues promptly to the Fleet Manager.
  • Perform Driver roll call daily, with final lineups being communicated to the customer and senior leadership no later that 5:30pm, daily.
  • Arrive to the Support Manager’s daily hub call on time and prepared with driver lineup, open routes with plans to fill, PTO approvals and plans for coverage.
  • Work closely with the client’s dispatch team. Providing exceptional service and working with a WE ARE ONE mentality.
  • Collaborate with customer service to resolve escalated delivery issues quickly and professionally.
  • Address and resolve issues regarding delivery delays, customer complaints, or route inefficiencies.
  • Participate in route changes or updates, overflow coordination and communicating changes to team members and support staff.
  • Arrive before, plan for success and execute a successful driver load out at client’s hub/warehouse. Work with your team to ensure that they are scanning the correct product, loading in sequenced order, securing freight properly and leaving with necessary paperwork. Work directly with all drivers at load out.
  • Monitor and report driver performance issues with solution based communication and an action plan to correct any issues, route delays, or vehicle concerns when not personally on a route or shadowing/training a driver.
  • Represent the company, professionally at customer sites, ensuring a high level of service.
  • Perform any other tasks, appointed by leadership.

Additional qualifications:

  • High school diploma or equivalent. Associate’s degree or higher preferred.
  • Valid driver’s license with a clean driving record.
  • Able to pass random drug screens and maintain a clean driving record.
  • Minimum of 2 years of driving experience.
  • Proficient in English.
  • Prior leadership or supervisory experience preferred.
  • Strong knowledge of DOT regulations, hours-of-service rules, and FMCSA compliance.
  • Ability to work flexible hours, including weekends or overnights, as required.
  • Proficient with GPS, ELD systems, email and basic dispatch communication.

Physical Requirements:

  • Ability to assist drivers to load and unload trucks, as needed.
  • Ability to move up to 1,000 pounds, with the proper equipment, and lift up to 50 pounds on a regular basis and tolerate a range of temperatures and environmental conditions on the dock, while driving or at delivery sites.
