Job Summary

The Marketing, Communications and Philanthropy Officer focuses on promoting engagement and a positive public image among VON’s various audiences and advancing VON’s efforts to raise money. The Officer works with the Marketing, Communication and Philanthropy (MCP) team and internal stakeholders to contribute to strategy development and to implement tactical solutions aligned to VON's priorities.

Key Responsibilities:

  • Conduct work in alignment with the Association of Fundraising Professionals’ Code of conduct and VON policies and procedures related to privacy.
  • Leads the creation of a monthly e-newsletter and manages and reports on its distribution and readership.
  • Develops employee communication for approval, through consultations with internal clients and understanding the contextual environment.
  • Creates briefing notes for meetings with prospects and donors.
  • Researches and create profiles for potential and current donors (individuals, foundations and corporations).
  • Uses donor data management system (Raiser’s Edge) to ensure accurate and timely recording and reporting of data.
  • Supports grant funding requests submitted by sites by accessing data from a central repository; follows and tracks the success of submissions.
  • Proactively pursues grant application opportunities and develops grant tracking processes.
  • Assists with monthly and annual statistical analyses of fund development activities/results.
  • Receives donations in person and over phone and completes online credit card processing.
  • Collaboratively manages and coordinates creation and update of web content; follows content related protocols to keep web site up-to-date.
  • Creates and coordinates posting of engaging text, image and video content for social media channels.
  • Trains colleagues to use social media to support VON engagement objectives.
  • Works with IT staff to ensure ongoing improvement of website, including phased updates and redesigns.
  • Responds to media requests and coordinates interviews.
  • Works with site staff to track and report on media activity, developing a proactive calendar to support fund development and other campaigns.
  • Seeks opportunities to position Board and senior leadership team as go-to sources for interviews.
  • Creates media products including advisories, releases, backgrounders, fact sheets etc.
  • Monitors industry news and provides regular reports to management on key trends.
  • Establishes and maintains media archives using media monitoring tools.
  • Maintains and refreshes brand and marketing tools, including print templates, image and video banks, and policies and guidelines.
  • Monitors and reports on use of brand and marketing tools.
  • Creates and coordinates production schedules and maintains ongoing relationships with graphic designers, mail houses, printers, and photographers.
  • Evaluates and negotiates vendor contracts.
  • Creates and maintains a VON style guide.
  • Coordinates, supports and reports on meetings with wide range of internal and external stakeholders.
  • Maintains dashboards and records on a range of stakeholders including local volunteer boards.
  • Proofreads, edits and provides quality control on reports and external documents as needed in English and/or French.
  • Coordinates planning, writing, editing, production and distribution of reports, newsletters and publications.

  • Abides by all confidentiality and protection of personal information policies, regulations and practices and ensures appropriate safeguards are in place within their role
  • Works in collaboration with other staff in a team approach to service delivery

External and Internal Relationships:

  • Engages with MCP and cross functional teams to support fund development across the organization.
  • Develops working relationship with clients, donors, perspective donors and partners, community volunteers, reporters and editors to support fund development and other campaigns.

Education, Designations and Experience:

  • Relevant post-secondary education in marketing, public relations, English, journalism, business administration or equivalent experience in fund development, media relations, communications and/or marketing.
  • Minimum of 3 years professional experience, including a proven track record in fundraising.
  • Demonstrated experience working with fundraising databases, including Raiser’s Edge.
  • Advanced experience using computer software programs including Microsoft Office (Word, Excel, PowerPoint and Outlook) and Content Management Software (Drupal preferred).
  • Previous experience in meeting coordination and event planning and management.
  • In-depth knowledge of Search Engine Optimization (SEO), keyword search and Google Analytics.
  • Ability to deliver created content for social channels (text, image, video).
  • Experience managing and scheduling social media and web content.
  • Expertise in multiple social media platforms.
  • Experience working in the health and/or community support services sector an asset.

  • Exceptional interpersonal skills including the ability to relate effectively with people at all levels (internal and external).

  • Personal suitability including the ability to exercise initiative, tact, discretion and judgment; ability to deal effectively with people and work under pressure.
  • Attention to detail and accuracy.

Other:

  • A current and original copy of a satisfactory Criminal Records check is required.
  • A Vulnerable Sector Search and/or Child Abuse Registry Check may be required.
  • Ability to speak French is an asset.

Working conditions and physical demands: This role requires a detail-oriented approach in a dynamic environment, with physical activity including lifting, carrying (using proper techniques), bending, reaching, kneeling, and other movements that emphasize good body mechanics. Individuals in the role are required to walk, sit, stand, and climb stairs throughout the day, with some tasks requiring fine hand movements.
