HR Systems Administrator

(12‑month Fixed Term Contract)

Reports to Manager - HR

Role Overview

The HR Systems Administrator will manage day‑to‑day HR system operations and employee data, ensuring accurate, timely, and compliant execution of core HR transactions across the employee lifecycle. The role is hands‑on and execution‑focused, with responsibility for system hygiene, SLA‑driven query resolution, document management, and HR data accuracy.

Key Responsibilities

HR Systems & Transactions

  • Execute HR transactions in SAP HR / HRMS covering onboarding, confirmations, transfers, separations, and employee master data.
  • Ensure hiring records are completed accurately and within defined timelines, including pre‑joining TATs.
  • Support separation processes and timely sharing of F&F inputs with payroll.

Employee Query & Case Management

  • Resolve employee queries related to HR systems, leave, and attendance within defined SLAs.
  • Ensure timely ticket closure and effective communication with stakeholders.
  • Escalate recurring issues with supporting data and analysis.

Data Accuracy & Validation

  • Own employee data accuracy, completeness, and periodic validation across HR systems.
  • Conduct regular checks and share exception reports for corrective action.
  • Ensure data readiness for payroll, PMS, audits, and statutory requirements.

Performance Management & Compensation Support

  • Support PMS and variable pay (VPP / PLA) data inputs as per timelines.
  • Ensure data accuracy before payroll cut‑offs.
  • Assist with preparation and sharing of PMS and rating reports.

Leave & Policy Administration

  • Support administration of leave policies including WFH, Comp Off, Paternity Leave, and Advance Leave.
  • Track leave usage and prepare periodic reports.

Document & Record Management

  • Maintain accurate and up‑to‑date employee records across HR systems and digital repositories.
  • Ensure proper indexing, version control, and retrieval of employee lifecycle documents.
  • Support document digitisation, archival, and audit readiness in coordination with HR, payroll, and compliance teams.

Reporting & Documentation

  • Prepare basic operational reports on onboarding, queries, data quality, and transactions.
  • Maintain trackers and essential process documentation.
