About the Role
We are looking for a proactive, customer-focused, and highly organized Front Desk Manager (Pre-Sales) to join our team. As the first point of contact for clients, you will play a critical role in delivering an exceptional customer experience while supporting business growth through lead management, appointment coordination, and local marketing initiatives.
The ideal candidate will have strong communication skills, a passion for customer service, and experience in front office operations combined with pre-sales or lead generation responsibilities.
Key ResponsibilitiesFront Desk & Customer Experience
- Welcome clients and visitors with a warm, professional, and personalized approach.
- Manage daily front desk operations, ensuring a seamless client experience.
- Handle incoming calls, emails, WhatsApp inquiries, and walk-in clients professionally.
- Schedule, confirm, and coordinate appointments with the Sales Advisors and clinic team.
- Provide accurate information regarding services, treatments, pricing, and appointment availability.
- Maintain a clean, organized, and professional reception area in accordance with company standards.
- Ensure all front office activities comply with company policies and brand guidelines.
Lead Management & Pre-Sales
- Manage incoming leads from multiple channels and ensure timely follow-up.
- Qualify leads and coordinate appointments to maximize consultation conversions.
- Support the sales team in achieving daily, weekly, and monthly consultation targets.
- Maintain and update lead data in the CRM system.
- Follow up with prospective clients to improve appointment attendance and conversion rates.
- Build positive relationships with prospective and existing clients to enhance customer retention.
Business Development & Marketing Support
- Assist in generating new business opportunities through referrals, local partnerships, events, and community engagement.
- Support in-clinic promotional campaigns, referral programs, and local marketing initiatives.
- Coordinate with the Studio Manager and Sales team to execute lead generation activities.
- Encourage client referrals and maintain strong customer engagement.
Operations & Reporting
- Prepare daily, weekly, and monthly reports on footfall, appointments, lead conversions, and customer feedback.
- Monitor front office performance and ensure smooth day-to-day operations.
- Coordinate staff schedules and maintain workflow efficiency (where applicable).
- Ensure compliance with hygiene, safety, and operational standards.
- Collect customer feedback and work with management to improve the client experience.
Required Qualifications
- Bachelor's degree in any discipline (Preferred).
- 3–7 years of experience in Front Office, Pre-Sales, Customer Service, Hospitality, Healthcare, Beauty, Wellness, or Retail.
- Experience in lead generation, customer engagement, or appointment-based sales will be preferred.
- Strong communication and interpersonal skills.
- Excellent telephone etiquette and customer handling skills.
- Ability to multitask and work in a fast-paced environment.
- Good organizational and problem-solving abilities.
- Proficiency in Microsoft Office and CRM software.
Preferred Candidate Profile
- Experience in clinics, healthcare, aesthetics, wellness, salons, hospitality, or premium customer service environments.
- Fluent in English, Hindi, and at least one regional language (preferred based on location).
- Professional appearance with a customer-first attitude.
