Job Description
About Shelf:
The enterprise is going agentic — but most AI agents fail when they hit real business complexity. Shelf is changing that.
We’ve built the operating system for agentic AI: a platform that models your policies, workflows, and operational logic into an AI Data Model so agents don’t just respond — they reason. The result? AI that understands how your business actually runs and delivers precise, compliant, auditable outcomes at scale.
Brands like Amazon, Nespresso, HelloFresh, and KeyBank trust Shelf to power AI agents that resolve 85% of cases autonomously, cut handle times by 20–25%, and turn hours long processes into seconds. We’re partnered with Microsoft, Salesforce, OpenAI, Snowflake, and Databricks — and recognized by Gartner (Cool Vendor) and IDC (Innovator) for our approach.
If you want to sell the infrastructure that makes agentic AI actually work in the enterprise, you’re in the right place.
Our mission is to empower humanity with better answers everywhere.
About the Role:
We’re looking for a high-impact Director of Operations to help scale Shelf’s internal execution engine as we grow. This is a fast paced, long hours work environment that will require a detail oriented and very disciplined person. The role requires elite project management skills and the ability to not get flustered in high stress environments.
This is a builder role — not a maintenance role. The Director of Operations will design, implement, and optimize the systems, processes, and reporting frameworks that power our go-to-market, customer delivery, and internal operations.
The role will work cross-functionally with Sales, Customer Success, Product, and Engineering to ensure operational clarity, efficiency, and scalability.
What You’ll Do:
1. Office Operations:
- Own day-to-day office operations to ensure a smooth, productive work environment.
- Manage office vendors, supplies, equipment, and facilities-related needs.
- Coordinate in-office logistics, team events, and internal meetings.
- Ensure a high-quality employee experience for both in-office and hybrid teams.
2. HR Operations:
- Manage end-to-end employee onboarding, including offer documentation, system setup, and first-day experience.
- Own off-boarding processes, ensuring smooth transitions, access removal, and documentation compliance.
- Maintain and update employee records, HR systems, and internal documentation.
- Partner with leadership on HR processes, policies, and employee experience initiatives.
3. Legal & Compliance Support:
- Coordinate with external legal counsel on contracts, NDAs, and general legal requests.
- Track and manage key legal documents, renewals, and compliance requirements.
- Support internal processes related to risk, compliance, and documentation governance.
- Ensure operational adherence to company policies and regulatory requirements.
4. Systems & Tools Management:
- Own administration of core internal systems.
- Manage user access, permissions, and system provisioning/ de-provisioning.
- Troubleshoot day-to-day system issues and coordinate with vendors when needed.
- Identify opportunities to streamline workflows through better tooling and automation.
5. Operational Support & Execution:
- Support day-to-day business operations across GTM teams as needed (Sales, Customer Success, Leadership).
- Manage internal processes, documentation, and task tracking to ensure consistent execution.
- Assist with vendor management, procurement, and basic budgeting tracking.
- Take ownership of ad hoc operational projects that keep the business running efficiently.
6. Implement Automation & AI-Driven Workflows:
- Identify opportunities to automate manual processes using AI and tooling.
- Partner with Product and Engineering to operationalize internal AI use cases.
- Improve efficiency without adding unnecessary complexity.
What We’re Looking For:
Experience:
- 5–8+ years in Operations, Business Operations, or similar roles.
- Experience in a high-growth SaaS or AI company.
- Proven track record of building and scaling operational systems.
Skills:
- Detail oriented and fiercely disciplined.
- Elite project management skills.
- Strong analytical and data-driven mindset.
- Experience with tools like Salesforce, HubSpot, BI tools.
- Excellent communication and stakeholder management skills.
Mindset:
- Even keeled temperament - won't get flustered easily and can work in stressful environments.
- Builder mentality — thrives in ambiguity and fast-paced environments.
- Process Oriented — designs for scale, not short-term fixes.
- Operator with strong ownership and accountability.
Why This Role Matters:
At Shelf, operations is not a back office function — it is a core driver of growth and competitive advantage. You will help build the operational foundation that enables Shelf to scale efficiently, deliver better customer outcomes, and power the next generation of AI-driven customer experiences.
