Role Overview
Seamless Assist is seeking a highly organized Executive Operations Coordinator to support executive productivity and day-to-day operations in a fast-paced remote environment. This role focuses on calendar management, communication, operational coordination, and structured workflow support, while leveraging AI tools to improve efficiency.
Candidates must be available during PST-EST business hours and have B2+ English proficiency.
Key Responsibilities
- Manage executive calendars, scheduling, and meeting coordination across time zones
- Organize and prioritize executive inbox communications
- Draft professional emails, reports, and documentation
- Track deadlines, tasks, and follow-ups for leadership
- Prepare meeting agendas, notes, and action items
- Maintain organized digital filing and documentation systems
- Support cross-functional communication and operational coordination
- Conduct research and compile information for executive decision-making
- Use AI tools (ChatGPT or similar) to assist with drafting, summarizing, and workflow organization
Requirements
- 1-3 years experience in executive support, administrative, or operations coordination roles
- Availability during PST-EST business hours
- B2+ English proficiency
- Strong organizational and multitasking skills
- Proficiency with Google Workspace or Microsoft Office
- Ability to work independently with minimal supervision
- High level of professionalism and discretion
