Job Description
Responsibilities include:
Real Estate Matters:
- Having care of files from beginning to end of transactions including residential sales, purchases, refinances and new home construction
- Preparing real estate transactional and conveyance documents, including transfers, caveats, mortgages, refinancing related documents and all related documentation
- Conducting and reviewing searches, including online searches with The Property Registry (TPR) (Land Titles Office)
- Analyzing and drafting trust conditions for review by supervising lawyer
- Maintaining and organizing schedules of closings
- Managing all incoming and outgoing funds, including calculation of funds required for closing, mortgage financing and other requirements
- Attending to file openings and reviewing conflict searches
- Preparing Statement of Accounts as necessary
- Maintaining client communications and, where necessary, acting as primary and independent contact with clients, financial institutions, brokers and other counsel
- Producing reports as necessary, including mortgage reports to lenders
Corporate Matters :
- Assist with corporate filings and formation documents (e.g., Articles of Incorporation, Operating Agreements, Annual Reports).
- Maintain corporate records, minute books, and compliance calendars.
- Support due diligence processes in mergers, acquisitions, and other business transactions.
- Prepare board resolutions, shareholder agreements, and other corporate documentation.
Estate Matters:
- Collect client information (deceased details, family members, assets, liabilities).
- Organize initial documents (death certificate, will, asset statements).
- Schedule meetings and follow-ups with clients and beneficiaries.
- Respond to basic inquiries and provide status updates.
- Liaise with financial institutions, courts, and government offices.
- Draft routine correspondence (letters, emails).
- Assist in preparing estate-related documents, such as Applications for probate, Affidavits and statutory declarations, Notices to beneficiaries and creditors.
- Prepare document packages for lawyer review.
- File probate applications and supporting documents with the court.
- Track deadlines and ensure compliance with court requirements.
- Arrange service of documents where required.
- Help compile a list of estate assets and debts.
- Assist in preparing estate accounting summaries.
- Coordinate with banks, insurers, and government agencies for asset transfers or closures.
- Maintain organized physical and electronic files.
- Track key dates (filing deadlines, court dates, limitation periods).
- Store original wills and important documents securely.
- Prepare statements of account.
- Track disbursements (court fees, filing fees, courier costs).
- Assist with trust accounting (if applicable).
- Manage calendars and appointments.
- Prepare reports or summaries for the lawyer.
- Ensure all documents are properly signed, commissioned, and witnessed.
Qualifications include:
- Eight (8) years of previous work experience
- Working knowledge of MS Word, Excel, Outlook
- Excellent attention to detail
- Organization skills; demonstrated initiative and ability to work independently with minimal supervision
- Ability to meet deadlines with excellent multi-tasking and problem-solving skills
- Ability to effectively communicate and strong client service skills
Salary: Commensurate with experience
