Annual Salary: 70,000 - 80,000 + Bonus

About The Opportunity

Reporting to the Head of Global HR and the CFO, this role provides hands-on administrative and operational support across HR and office functions. This role ensures HR and office processes are executed consistently, records are maintained accurately, and employees receive timely day-to-day support.

How You Will Contribute:

Employee Lifecycle Administration

  • Coordinate onboarding and offboarding logistics using approved templates and processes
  • Prepare and issue employment documentation using Global HR-approved materials
  • Maintain accurate employee records and HR systems
  • Track probation periods, performance review cycles, training completion, and compliance requirements
  • Support HR components of SMETA and other audits as required

Benefits & Payroll Support

  • Administer benefits enrollments, changes, and employee inquiries
  • Support payroll by providing benefits and leave reporting
  • Administer HRIS (currently BambooHR)

Recruitment Administration

  • Coordinate job postings, interview scheduling, and candidate communications
  • Support reference checks, background checks and offer preparation

Employee Support

  • Act as the first point of contact for routine HR inquiries (policies, benefits, time-off)
  • Escalate all non-routine or sensitive HR matters to Global HR

Workplace Experience & Office Culture

  • Coordinate on-site social events, team activities, and employee celebrations
  • Support workplace engagement and recognition initiatives in partnership with Global HR
  • Serve as the primary on-site contact for day-to-day office administration
  • Manage office supplies, mail, facilities coordination, and service vendors
  • Support meeting coordination, visitors, and on-site logistics
  • Manage vendor and service contracts related to office operations
  • Oversee general office organization and workspace needs
  • Provide administrative support to leadership and operations teams as required
  • Drafts and distributes all corporate communications
  • Coordinate quarterly company newsletter production and distribution
  • Manage physical IT assets, including laptops, phones, and peripherals
  • Coordinate hardware setup, replacement, return, and inventory tracking
  • Act as the internal liaison with the third-party IT provider
  • Track IT requests and follow up on issue resolution
  • Manage IT helpdesk email
  • Creating and managing IT helpdesk tickets
  • Create Fixed Asset Requests (FAR)

What You Bring to the Table

  • A minimum of 3-5 years of progressive HR/people operations experience
  • At least 1 years of experience in office administration
  • Payroll knowledge/experience an asset
  • Experience supporting HR processes in a structured, compliance-driven environment
  • Experience coordinating with external vendors or service providers
  • Strong organizational, documentation, and follow-up skills
  • Demonstrated discretion, professionalism, and sound judgment in handling sensitive information
  • Comfortable working onsite and interacting with employees and leadership daily
