Founder's Chief of Staff & Operations Manager

Position: EA + Personal Manager + Brand Operations

Location: Gurgaon, Haryana

Working Days: Monday to Friday

Experience Required: 2+ years

ABOUT THE ROLE

We are looking for an exceptional, high-energy professional to serve as the backbone of a founder-led business and personal brand. This is not a conventional EA or PA role , it sits at the intersection of both, combining sharp operational execution with strategic thinking, brand management, and lifestyle coordination.

You will be the founder's extended brain , anticipating needs, driving execution, representing the founder with authority in negotiations, and ensuring that both personal and professional commitments are managed with precision and care.

KEY RESPONSIBILITIES

Business & Operations

  • Own and manage the founder's professional calendar , meetings, pitches, networking events, and business commitments
  • Coordinate with team members, vendors, collaborators, and external partners on behalf of the founder
  • Lead vendor negotiations , rates, contracts, and timelines , with assertiveness and commercial acumen
  • Manage project timelines, deliverables, and accountability across multiple workstreams
  • Handle all high-priority business communications requiring the founder's attention
  • Support recruiting efforts , coordinate with talent acquisition partners, screen candidates, and manage interview scheduling
  • Manage and track brand collaboration deals, agreements, and partnership deliverables

Personal Brand & Lifestyle Management

  • Maintain the founder's personal calendar including social commitments, dinners, personal appointments, and events
  • Track all personal branding assignments and ensure timely payment follow-ups across brand collaborations
  • Manage corporate and personalized gifting , sourcing, budgeting, vendor coordination, and execution
  • Plan, coordinate, and manage both personal and professional events , from intimate dinners to large gatherings
  • Travel coordination , logistics, bookings, itineraries , and accompany the founder to key events and functions when required
  • Act as the first point of contact across personal commitments, ensuring nothing falls through the cracks

Negotiations & Representation

  • Negotiate rates, terms, and conditions with vendors, collaborators, and service providers on the founder's behalf
  • Represent the founder's interests assertively across collaborations, brand deals, and operational matters
  • Maintain and nurture key professional relationships with discretion and consistency

WHO WE ARE LOOKING FOR

Experience

  • 2+ years managing a founder's, CEO's, or C-suite executive's schedule and operations
  • Demonstrated experience in vendor management, event coordination, or brand operations
  • Familiarity with the demands of a fast-moving, entrepreneurial environment

Personality & Skills

  • Bold and assertive , able to negotiate, push back, and advocate firmly on the founder's behalf
  • Exceptionally organized with an eye for detail and zero tolerance for dropped balls
  • Proactive mindset , anticipates needs rather than waiting to be told
  • Strong written and verbal communication skills in English , crisp, professional, and articulate
  • Discreet, trustworthy, and able to handle sensitive personal and professional information with complete confidentiality
  • Energetic, flexible, and available beyond standard working hours when required
  • Young, driven, and hungry to grow within a dynamic founder-led environment

Technical Proficiency

  • Proficient with Google Workspace (Calendar, Drive, Gmail, Docs, Sheets)
  • Comfortable with scheduling tools, project management platforms, and communication apps
  • Ability to pick up new tools quickly
