  • Partner closely with the Brand Manager and Marketing teams to intake, prioritize, and coordinate creative asset requests.
  • Maintain production calendars, project trackers, and key milestones to ensure projects remain on schedule.
  • Communicate project updates, timelines, and next steps to stakeholders across Creative and Marketing teams.
  • Proactively identify potential roadblocks and help implement solutions to keep projects moving forward.

Production Planning & Coordination

  • Support the Art Director in development of shot lists, production schedules, call sheets, crew logistics, and shoot documentation.
  • Assist with location scouting, prop sourcing, talent coordination, and vendor communication as needed.
  • Manage production budgets, estimates, invoices, and related documentation, partnering closely with Finance and Leadership to ensure accurate tracking, approvals, and reporting.
  • Manage contracts, permits, insurance certificates, vendor agreements, and other production-related administrative requirements.
  • Create packing lists and oversee product preparation for all shoots.
  • Partner with Merchandising and Product teams to track incoming samples and inventory needed for upcoming productions.

Asset & Sample Management

  • Maintain and organize the brand's creative asset library, ensuring photo and video assets are properly archived, tagged, and accessible across teams.
  • Coordinate post-production workflows, including asset reviews, retouching requests, approvals, and final delivery.
  • Own all sample inventory management, serving as the sole point of accountability for the organization, tracking, maintenance, and readiness of products within the sample closet.
  • Help develop and maintain systems that improve sample tracking, asset organization, and production workflows.

Shoot Execution

  • Support on-set production during photo and video shoots, helping ensure productions run smoothly and according to schedule.
  • Serve as a key point of coordination between creative teams, talent, vendors, and production partners throughout shoot days.
  • Assist in troubleshooting production challenges and coordinating solutions in real time.
  • Ensure all products, props, and production materials are organized and prepared before, during, and after shoots.

Who You Are:

  • 2–4 years of experience in production, project management, creative operations, or a related field.
  • Experience supporting photo and/or video productions from planning through final asset delivery - with a strong preference for candidates with experience working on an in-house creative team, particularly within retail, lifestyle, consumer goods, or ecommerce brands.
  • Strong relationship management skills with a demonstrated ability to coordinate priorities, communicate clearly, and drive alignment across internal stakeholders and external partners.
  • Strong organizational and project management skills with exceptional attention to detail.
  • Ability to manage multiple projects simultaneously while maintaining deadlines.
  • Familiarity with creative asset management systems, project management tools, and production workflows. Experience using Canto, Asana, and Frame.io is a plus.
