Job Description

Reports to: Director of Development & Events

Are you the kind of person who loves a good checklist, thrives in a fast-paced environment, and finds genuine joy in bringing people together? Do you get a little thrill from turning a great idea into a seamless, memorable experience? If so, you might be exactly who we’re looking for.

We’re seeking an Events Manager to help steward and grow a dynamic portfolio of private rentals and community programming. This role is equal parts relationship-building, logistics wizardry, and thoughtful hospitality. You’ll be at the center of it all—ensuring every guest, renter, and partner feels welcomed, supported, and excited to return to our historic property.

What You’ll Bring

  • 3–5 years of experience in event planning, venue management, or hospitality (required)
  • Exceptional organizational skills (you appreciate a good system—and know how to improve one) and highly detail oriented
  • Tech-savvy and attentive to keeping all information accurate and up-to-date in your Events Management System (preferred but not required proficiency in Perfect Venue and Prismm or similar Event Planning/Floor Plan design software)
  • A strong track record of managing a high volume of events on a small team (3-5 events a week)
  • A demonstrated history of finding uniquely thoughtful touch points to enhance the client experience for renters/event hosts
  • A collaborative mindset and willingness to jump in wherever needed (we are a very small team with ambitious desire to show up for our community in meaningful ways)
  • The flexibility to work occasional evenings and weekends as events require
  • Strong written and verbal communication skills with a warm, client-focused approach
  • Preferred but not required if you are conversational or fluent in Spanish
  • College degree
  • Three professional references (ideally a client, a peer and a boss)

What You’ll DoYour First 90 Days: Laying the Groundwork

In your first few months, you’ll take the reins on our private events program, becoming the primary point of contact for renters from first inquiry through event execution. During this time, you’ll:

  • Manage all event inquiries, venue tours, bookings, and coordination with care and responsiveness
  • Deliver a thoughtful, high-touch renter experience that reflects our organization’s values
  • Learn our systems, spaces, and rhythms—and identify opportunities to improve and enhance them
  • Research and strategically expand our preferred vendors list by meeting with recommended businesses and determining who is a good fit for our venue
  • Begin enhancing internal processes and client touch points, including:
  • Streamlining communication templates
  • Refining timelines and checklists
  • Improving overall clarity and consistency for clients and staff
  • Support the team in coordinating community event programming, gaining familiarity with our public-facing events
  • Submit all community events info to Visit Middleburg to ensure our events are all listed in the monthly ‘Things to Do’ flyers

After 90 Days: Expanding Your Impact

Once you’ve settled in, you’ll begin to take on a larger role in shaping and executing our community event programming. In this next phase, you’ll:

  • Gradually assume greater ownership of planning and coordinating our community events
  • Continue managing private rentals while refining systems to increase efficiency and ease
  • Collaborate closely with the Director of Development & Events on event strategy and execution
  • Help ensure all events—private and public—are well-organized, welcoming, and mission-aligned
  • Bring fresh ideas to the table to enhance both renter experience and community engagement

Why This Role Matters

Events are a vital part of how we connect with our community and sustain our work. This role is central to making those experiences not only successful, but truly special. From a beautifully executed private celebration to a thoughtfully curated community gathering, your work will help create moments people remember.

A Final Note

We’re looking for someone who is not only capable and organized, but also kind, positive, and genuinely enjoys working with people while coordinating all of the details. A sense of humor doesn’t hurt either—we believe great events (and great teams) are built with both professionalism and a bit of joy.

Compensation & Benefits

  • Salary: $55,000/year
  • Position: Full-Time Employee; Hybrid Role; flexible schedule based on the needs of events; availability on nights and weekends as needed
  • Benefits: 100% funded Healthcare, dental and vision; 401k with matching
  • Time Off: 17 Days PTO (after 6 months employment); 10 holidays; and the Center is closed the week between Christmas and New Years Eve
