Job Description: Legal Assistant Key Responsibilities
1. Final Reporting – Clients
- Prepare comprehensive final reporting packages for clients upon closing
- Compile and organize all transaction documents into structured reports (30–40 pages)
- Ensure accuracy, completeness, and professional formatting of all client reports
- Coordinate with the legal team to finalize and dispatch reports in a timely manner
2. Final Reporting – Lenders
- Draft and prepare final reporting letters and documentation for lenders
- Ensure all lender requirements, conditions, and documentation are accurately met
- Review and organize supporting documents for submission
- Maintain clear records of all lender communications and submissions
3. Document Preparation for Signing Appointments
- Prepare and organize legal documents required for real estate signing appointments
- Ensure all documents are complete, accurate, and ready for execution
- Coordinate timelines to ensure documents are prepared ahead of scheduled signings
- Assist in managing document checklists for each file
4. File Management & Administrative Support
- Maintain organized digital files and documentation for real estate transactions
- Track file progress and ensure all required steps are completed
- Support lawyers with administrative tasks related to active files
- Assist in creating structured workflows for reporting and documentation
5. Compliance & Confidentiality
- Handle sensitive client and transaction information with strict confidentiality
- Ensure all documentation complies with legal and regulatory standards
- Work within secure systems and follow firm protocols for data protection
Required Skills & Qualifications
- Experience as a Legal Assistant or Law Clerk (real estate preferred)
- Strong understanding of real estate transaction processes (residential/commercial)
- Experience preparing reporting letters and closing documentation
- Excellent drafting and written communication skills
- High attention to detail and accuracy in documentation
- Strong organizational and time management skills
- Ability to handle high-volume, repetitive tasks efficiently
- Proficiency with legal document management systems and MS Office
