Job Description

Land & Investment Group at Royal LePage Commercial is seeking a highly organized, detail-oriented AI-Enabled Research & Administrative Assistant (full-time independent contractor) based in our North York, Toronto office. This role supports a high-performing commercial real estate team and offers the opportunity to develop deep market knowledge across the Greater Toronto Area (GTA) while applying modern research methods and AI-assisted workflows.

In this position, you will perform a blend of research (approximately 70%) and administrative support (approximately 30%). You will be responsible for the accurate collection, validation, organization, and distribution of commercial development project information, including data entry into our proprietary database. The work includes sourcing and synthesizing project information, analyzing market data, maintaining systems and records, and preparing select presentation materials. You will work across tools such as Microsoft 365, Google Drive, HubSpot CRM, PowerPoint, and Adobe Photoshop. Strong working knowledge of applied AI (e.g., prompt design, research acceleration, summarization, data extraction, and workflow automation) is a key requirement, and candidates should be comfortable adopting and operationalizing new AI tools to improve accuracy, speed, and quality of deliverables. The ability to speak directly with clients and upsell our services will be considered.

The work week will be between 30-40 hours per week

Job Responsibilities

  • Maintain confidential department records and office files in accordance with internal procedures (cloud-based file system)
  • Draft, edit, and format presentation materials (offers, agreements, RFPs, marketing decks, listing proposals, email marketing, and document templates)
  • Organize, update, and maintain the client and property database using CRM tools
  • Produce market statistics reports and assist with infographics and presentation-ready visuals
  • Provide general administrative support to the team, as required
  • Manage email correspondence; draft and proofread client communications and letters
  • Work independently and collaboratively within a team environment to deliver time-sensitive projects
  • Perform additional projects as assigned by managers
  • Apply AI tools to accelerate research, extract/structure information, improve written outputs, and streamline repetitive tasks while maintaining data accuracy and confidentiality
  • The work week will be between 30-40 hrs per week.

Qualifications

  • Post-secondary education (college diploma or university degree preferred)
  • Demonstrated, hands-on AI capability: strong working knowledge of modern AI tools and methods (e.g., LLM-based assistants), including prompt design, structured information extraction, summarization, and workflow automation; ability to apply AI safely and effectively in day-to-day business processes
  • Prior experience with research, data compilation, building data tables, and preparing reports and presentation materials
  • Intermediate proficiency with Microsoft Word, Excel, Outlook, and PowerPoint
  • Experience with cloud and organization tools (e.g., CRM platforms, Google Drive, Microsoft 365)
  • Exceptional attention to detail, with strong writing, grammar, and business communication skills
  • Ability to manage multiple priorities and consistently meet deadlines
  • Ability to work independently while providing reliable support to a team
  • Strong planning, prioritization, and time-management skills
  • Willingness to take ownership, exercise sound judgment, and deliver practical, high-quality outcomes
