Description

The Student Residences team at Spaces & Experiences operates undergraduate and graduate student housing on the St. George campus at the University of Toronto. Between May-August, we operate as a hotel alternative and offer short-term stays for tourists and groups at Chestnut Residence, Knox Residences and Oak House Residence.

Our Summer Accommodations Administrators play an important role in ensuring that our summer guests have a positive and comfortable stay. This position offers a unique opportunity to gain hands-on experience in hospitality as part of this dynamic operation. In this role, you will gain exposure to various aspects of hotel operations, including front desk services, guest relations, and daily operational logistics.

Key Responsibilities

Guest Services

  • Provide a high standard of customer service through phone, email, and in-person interactions in a hotel-style operating environment.
  • Support front desk operations by assisting with guest check-in/check-out, payment processing, and guest service coordination as needed.
  • Prepare and manage guest arrival materials, including access cards, Wi-Fi credentials, and meal plan details.
  • Assist in resolving guest concerns, complaints, and service issues, escalating matters to the appropriate department or leadership when required.
  • Act as a key liaison between guests, the front desk team, and internal service partners during assigned shifts.

Reservation Support

  • Maintain accurate reservations and guest records in the Property Management System (PMS).
  • Manage and monitor reservations through Online Travel Agency (OTA) platforms.
  • Process payments and support accurate billing, folios, and posting of charges.
  • Assist with basic financial administration, including payment tracking, reconciliation support, and reporting discrepancies.
  • Support group billing, invoicing preparation, and verification of charges prior to submission.
  • Prepare daily operational, occupancy, revenue, and arrival/departure reports.
  • Identify discrepancies in reservations, payments, or reports and escalate for resolution as required.

Operations

  • Support the transition to summer operations, including coordination of room readiness and inventory.
  • Monitor arrivals, departures, and late check-outs and take appropriate operational action.
  • Coordinate housekeeping and maintenance requests to ensure service standards are met.
  • Support daily operations across residences.
  • Lead tours for prospective students, guests, and group clients.

Qualifications

  • Minimum of two (2) years of experience in a hotel, residence, or comparable hospitality accommodation setting.
  • Demonstrated experience providing exceptional customer service.
  • Experience working successfully within and across diverse communities, cultures, and contexts.
  • Ability to work collaboratively as part of a team.
  • Demonstrated ability to work independently, take initiative, and achieve established goals.
  • Demonstrated ability to organize work, establish priorities, and meet deadlines while negotiating unpredictable emergent needs. A high degree of flexibility and adaptability is required.
  • Must be able to exercise good judgment, critical thinking, and problem-solving skills.
  • Excellent interpersonal skills, initiative, and time management.

Conditions Of Employment

To be considered for this opportunity, applicants must:

  • Be available to attend all mandatory training sessions (dates TBD).
  • Hours range from 30-40 hours per week. Evenings & weekends.
  • Be available for various shifts at Chestnut Residence, Knox Residence and Oak House Residence.
