Job Description
About Gruve
Gruve is an innovative software services startup dedicated to transforming enterprises to AI powerhouses. We specialize in cybersecurity, customer experience, cloud infrastructure, and advanced technologies such as Large Language Models (LLMs). Our mission is to assist our customers in their business strategies utilizing their data to make more intelligent decisions. As a well-funded early-stage startup, Gruve offers a dynamic environment with strong customer and partner networks.
About the Role
The Revenue Operations Analyst owns system integrity, data accuracy, and process enforcement across the entire revenue lifecycle: from lead capture in Salesforce through opportunity management, SOW/project creation in Keka PSA, to invoicing and revenue recognition in NetSuite. This is not a passive monitoring role. You will proactively identify gaps, fix broken integrations, build reports that drive operating rhythm, and serve as the go-to operational partner for sales, delivery, and finance teams.
Key Responsibilities
Revenue System Integrity (Salesforce + NetSuite + Keka PSA):
- Own and maintain all integrations between Salesforce, NetSuite, and Keka PSA, ensuring data flows accurately across the lead-to-cash lifecycle
- Monitor sync jobs, troubleshoot failures, and resolve data discrepancies within SLA (target: zero open reconciliation gaps older than 48 hours)
- Maintain field mappings, validation rules, and automation workflows across all three systems
- Conduct weekly system audits to catch data drift before it compounds into reporting errors
- Own the master data model documentation: field definitions, sync logic, and integration architecture
Pipeline and Forecast Accuracy:
- Build and maintain Salesforce dashboards and reports that power weekly pipeline reviews, forecast calls, and leadership operating rhythm
- Enforce opportunity hygiene: Stage progression rules, required fields at each stage gate, close date accuracy, and deal amount validation
- Flag forecast risks proactively (e.g., deals stuck in stage, unrealistic close dates, missing next steps) and surface them to sales leadership
- Produce weekly pipeline accuracy reports comparing forecast vs. actuals, with root cause analysis on material variances
Sales Enablement and Operational Support:
- Serve as the primary operational partner to the sales team for CRM questions, process guidance, and deal workflow support
- Build and maintain automated alerts, task assignments, and workflow triggers that reduce manual work for sales reps
- Create and maintain standard operating procedures (SOPs) for all CRM processes: lead management, opportunity creation, quote-to-close, handoff to delivery
- Onboard new sales hires onto Salesforce processes and enforce adoption through training and compliance tracking
Revenue Reporting and Operating Cadence Support:
- Produce weekly, monthly, and quarterly revenue reports that reconcile pipeline data (Salesforce), project data (Keka PSA), and financial data (NetSuite)
- Support month-end and quarter-end close processes by ensuring invoice accuracy and revenue recognition alignment
- Build utilization and margin reports by combining Keka PSA project data with NetSuite financial data
- Maintain a single source of truth dashboard that leadership can rely on without manual data pulls
Process Design and Governance:
- Identify and document process gaps across the revenue lifecycle; propose and implement fixes with proper change management
- Enforce data governance policies: naming conventions, required fields, picklist values, duplicate management
- Manage system change requests through a controlled process (impact assessment, testing, rollback plan)
- Maintain a system change log and integration health scorecard reviewed weekly with the operations team
Basic Qualifications
- Bachelor’s or Master’s degree in Business Administration, Commerce, Finance, Economics, or related field
- 3 to 6 years of hands-on experience in Revenue Operations, Sales Operations, or Business Systems with direct CRM administration responsibilities
- Working knowledge of NetSuite or equivalent ERP system (order management, invoicing, revenue recognition workflows)
- Experience with at least one PSA tool (Keka PSA, Kantata/ Mavenlink, FinancialForce, or similar) for project and resource tracking
- Strong SQL or SOQL skills for data extraction, validation, and ad hoc analysis
- Track record of building reports and dashboards that directly inform leadership decisions (not just data
dumps) - Demonstrated ability to enforce process discipline across teams that may resist structured data entry
Preferred Qualifications
- Salesforce Administrator certification (ADM 201) or Platform App Builder
- Experience in a professional services or consulting firm where utilization, margin, and project profitability reporting were core requirements
- Familiarity with CPQ (Configure, Price, Quote) tools within the Salesforce ecosystem
- Exposure to Data Cloud or other customer data platforms
- Experience supporting a scaling sales organization (10–50 reps) through CRM process design and enforcement
- Comfort with basic scripting (Apex triggers, JavaScript, Python) for automation or data migration tasks
