Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to support daily operations within our office environment. The ideal candidate will possess strong clerical and administrative skills, with experience in managing front desk responsibilities, data entry, and customer service. This role requires proficiency in various office software and excellent communication skills to ensure smooth workflow and exceptional support to staff and clients.
Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and administrative tasks to ensure organized documentation
- Provide customer support via phone, email, and in-person interactions, ensuring excellent customer service standards
- Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
- Support medical or dental office functions if applicable, including scheduling appointments and managing patient files
- Coordinate appointments and meetings, prepare correspondence, and support general office management activities
- Maintain a clean and professional front desk area to promote a welcoming environment
Requirements
- Proven experience in office administration or clerical roles, preferably within medical or dental offices
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with keen attention to detail for proofreading and filing tasks
- Experience with multi-line phone systems and front desk operations
