Job Title: Jr. Digital Marketing/Admin Assistant

Job Summary

We are seeking a dynamic and detail-oriented professional to support our marketing and administrative operations. This role blends digital marketing execution with administrative responsibilities, including managing RFP submissions and contract documentation. The ideal candidate is organized, tech-savvy, and comfortable working across departments to ensure smooth operations and brand consistency.

Key Responsibilities:

Digital Marketing (40%)

  • Develop and schedule content across social media platforms (LinkedIn, Instagram, Twitter, etc.)
  • Assist in email marketing campaigns, newsletters, and website updates
  • Monitor analytics and generate performance reports (Google Analytics, Meta Insights, etc.)
  • Coordinate with designers and vendors for marketing collateral
  • Support SEO and SEM initiatives

Administrative Support (20%)

  • Manage calendars, schedule meetings, and prepare agendas
  • Maintain digital filing systems and organize documentation
  • Assist with travel arrangements and expense reporting
  • Provide general office support and liaise with vendors

RFP Management (20%)

  • Track and respond to RFP opportunities in collaboration with sales and technical teams
  • Prepare and format proposal documents, ensuring compliance with submission guidelines
  • Maintain a repository of proposal templates and boilerplate content
  • Coordinate internal reviews and approvals before submission

Contract Coordination (20%)

  • Draft, review, and manage contracts and agreements with clients and vendors
  • Ensure timely renewals and compliance with contractual obligations
  • Maintain contract database and version control
  • Liaise with legal and finance teams for approvals and risk assessments

Qualifications

  • Bachelors degree in Marketing, Business Administration, Communications, or related field
  • 2+ years of experience in digital marketing, administrative support, or contract management
  • 2+ years of experience managing recruitment administrative tasks
  • Proficiency in tools like Microsoft Office, Google Workspace, Canva, HubSpot, or Salesforce
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Familiarity with RFP processes and contract lifecycle management is a plus

Preferred Skills:

  • Experience with project management tools (e.g., Asana, Trello, Monday.com)
  • Knowledge of CRM and CMS platforms
  • Basic understanding of legal terminology and procurement processes
