The Role
As our Mortgage Fulfillment Specialist / Director of WOW, you’ll be the engine that keeps mortgage files moving efficiently from approval to funding all the while being a pivotal part of the daily interactions with partners & clients alike
You’ll work alongside the broker to manage documentation, satisfy lender conditions, coordinate with third parties, and ensure every file is complete, accurate, and on track. In addition you will be tasked with all the fundamental duties that enable client retention, growth and sustainability along side of partnership strengthening and growth.
This role is perfect for someone who loves organization, works well under pressure, and understands how important speed, communication, and accuracy are in delivering an outstanding client experience.
What You’ll Be Doing
- Following up with clients, lenders, and partners for outstanding documents
- Reviewing mortgage documents for completeness and lender compliance
- Conducting verbal employment verifications and completing due diligence reviews
- Managing files through the fulfillment process to ensure deadlines are met
- Satisfying lender conditions and preparing files for funding
- Communicating with lenders, solicitors, appraisers, and insurers to keep files progressing
- Supporting brokers by ensuring every file is organized and submission-ready
- Identifying document inconsistencies and escalating concerns when needed
- Proactively connecting with current client base as well as prospective clients to keep the nurtured relationship
- Proactively connecting with existing and prospective partners to ensure the fires remain vibrant and poised for growth and strengthening
Who You Are
You’re organized, proactive, and know how to keep things moving.
You understand that every mortgage file represents a real person counting on a smooth closing, and you take pride in making that happen.
You’re comfortable managing multiple priorities at once, communicating with confidence, and solving problems before they become roadblocks.
You LOVE to connect with people on the phone, via email or SMS service giving them first class customer & partner experiences.
You likely have:
- 1–2 years of mortgage fulfillment or mortgage administration experience in the Canadian mortgage industry
- Strong understanding of lender documentation and mortgage funding requirements
- Excellent organizational and time management skills
- High attention to detail and strong follow-through
- Confidence communicating with clients, lenders, and industry partners
- The ability to work independently and stay productive in a fast-paced environment
- A solutions-focused mindset and a sense of ownership over your work
- Familiarity with mortgage software and standard office systems
- A positive attitude and team-oriented mindset
