About Exclusive Imprint
Exclusive Imprint is a Niagara-based apparel decoration shop specializing in screen printing and embroidery. We produce custom apparel for teams, businesses, organizations, and events across the region. As we continue to grow, we're looking for an experienced bookkeeper/accountant to bring our financial records fully up to date and build the accounting foundation that will support the next phase of the business.
The Opportunity
This is a hands-on, project-focused contract role for a finance professional who thrives on cleanup work and system-building. Over the course of 3–4 months, you'll take ownership of reconciling our 2024 and 2025 fiscal years in QuickBooks Online, and leave the shop set up with clean books, clear processes, and the reporting tools ownership needs to make confident decisions going forward.
This role is ideal for a contract bookkeeper, fractional accountant, or CPA candidate looking for a focused engagement with a defined scope and tangible impact.
Key Responsibilities
Reconciliation & Cleanup (Primary Focus)
- Fully reconcile the 2024 and 2025 fiscal years in QuickBooks Online, including bank accounts, credit cards, and merchant/payment processor accounts
- Review and correct chart of accounts, categorization, and any miscoded or uncategorized transactions
- Reconcile accounts receivable and accounts payable, including outstanding customer invoices and supplier balances
- Verify and clean up inventory-related entries (blanks, thread, ink, supplies) in coordination with operations
- Reconcile sales tax (HST) filings and ensure reporting is accurate and up to date
- Prepare year-end-ready financials for 2024 and 2025 for handoff to the external accountant for tax filing
Advisory & Handoff
- Flag risks, inconsistencies, or opportunities identified during cleanup
- Provide recommendations on cash flow management, job costing, and pricing inputs based on what the cleaned data reveals
- Train internal team members on updated processes and QuickBooks Online workflows before the end of the engagement
Qualifications
Required
- 3+ years of bookkeeping or accounting experience, including full-cycle bookkeeping
- Strong working knowledge of QuickBooks Online, including bank feeds, reconciliations, class/location tracking, and reporting
- Experience with multi-year cleanup and catch-up engagements
- Solid understanding of Canadian small business accounting, including HST filing
- Ability to work independently, manage a defined scope, and meet clearly communicated milestones
Preferred (but not required)
- Experience with small manufacturing, print/apparel, or inventory-based businesses
- Familiarity with job costing and production-based revenue recognition
- Experience integrating QuickBooks Online with e-commerce, POS, or order management platforms.
- CPA, CPB, or equivalent designation (or actively pursuing)
What Success Looks Like
By the end of the engagement:
- 2024 and 2025 books are fully reconciled, clean, and ready for the external accountant
- HST filings are accurate and current
- A refined chart of accounts and monthly close process are in place
- Ownership has a reliable reporting package and a clear picture of the business's financial position
- Internal staff know how to maintain the books day-to-day, and the shop is positioned to operate with confidence beyond the contract term.

Pay: $45,000.00-$55,000.00 per year
