Hospitality & Logistics Specialist

Job Summary

The Hospitality & Logistics specialist will support the delivery of world-class in-person programs conducted by IIT Bombay’s Educational Outreach (EO) office. Reporting to the Hospitality & Logistics Manager, this is a highly hands-on, operational role responsible for coordinating accommodation, venues, food & beverage services, transportation, and participant support to ensure seamless programme execution.

The role requires an individual who enjoys being on the ground, thrives in a fast-paced environment, and is willing to work flexible hours, including weekends, when programmes are in progress. The ideal candidate is service-oriented, detail-conscious, and comfortable managing multiple activities simultaneously while interacting with participants, faculty, vendors, and internal stakeholders.

The Hospitality & Logistics team plays a critical role in creating a premium and memorable experience for all programme participants

1. Hospitality Operations & Guest Experience

• Support end-to-end hospitality arrangements for EO's on-campus and off-campus programmes.
• Ensure a high-quality experience for participants, faculty, and guest speakers.
• Provide on-ground support and resolve operational issues during programme execution.

2. Accommodation Management

• Coordinate accommodation bookings across IIT Bombay guest houses, hostels, and external hotels.
• Prepare rooming lists, gate passes, and accommodation details.
• Assist participants and faculty with check-in and stay-related requirements.

3. Venue & Logistics Coordination

• Coordinate venue bookings and ensure programme halls are ready prior to commencement.
• Support logistics including seating layouts, signage, housekeeping, and audio-visual arrangements.
• Coordinate transportation and participant movement requirements.

4. Food & Beverage Operations

• Arrange tea, coffee, meals, and catering requirements for programmes and events.
• Ensure quality, hygiene, and timely service delivery.
• Coordinate with catering vendors and internal stakeholders to address service issues.

5. Vendor & Stakeholder Coordination

• Liaise with hotels, transport providers, caterers, and other service vendors.
• Coordinate closely with IIT Bombay departments including Security, Hospital, Library, Guest House, and Administration teams.
• Maintain records, invoices, documentation, and operational checklists.

6. Miscellaneous

• Perform other duties as assigned to support the goals of Educational Outreach.

Qualifications

Educational Qualifications

• Bachelor's degree in Hospitality, Hotel Management, Tourism, Event Management, Business Administration, or a related discipline.

Professional Experience

• 2–5 years of experience in hospitality operations, events, hotels, guest relations, travel, or logistics coordination.
• Prior experience in event operations, banquets, hotels, MICE, or corporate hospitality services will be preferred.
• Experience working in customer-facing and operational environments.

Note

• This is a Mumbai-based, on-site role. Only shortlisted candidates will be notified.
• Since the role supports in-person programmes, working on weekends and beyond standard office hours may be required depending on programme schedules. Compensatory offs will be provided as per applicable policy.
