Role Overview
We are seeking a highly capable, proactive Executive Assistant to act as a direct extension of the founder. This is not a traditional administrative role—this individual will serve as a right hand, owning critical workflows across grants, marketing, SR&ED, and strategic initiatives to help scale the business efficiently.
The ideal candidate anticipates needs, removes bottlenecks, and ensures priorities are executed without constant direction.
Core Responsibilities
1. Executive Support & Priority Management
- Act as a gatekeeper and force multiplier for the founder’s time and focus
- Manage calendar, priorities, and follow-ups across multiple workstreams
- Track key initiatives and ensure nothing falls through the cracks
- Prepare briefs, summaries, and decision-support materials
2. Grants, SR&ED & Funding Support
- Research and identify relevant grants, incentives, and funding opportunities
- Coordinate and assist with grant and SR&ED application preparation
- Gather technical, financial, and operational inputs from internal teams
- Track submissions, deadlines, and reporting requirements
3. Marketing & Growth Execution
- Support execution of marketing initiatives (content, campaigns, outreach)
- Coordinate with internal and external partners (designers, agencies, etc.)
- Help manage brand presence, website updates, and communications
- Track performance metrics and ensure consistent execution
4. Operational Leverage & Special Projects
- Take ownership of recurring and ad hoc tasks to reduce founder workload
- Build and improve systems, workflows, and documentation
- Support ERP and CRM adaptations
- Support office remodel and location changes
- Support cross-functional coordination (sales, operations, finance)
- Lead small projects independently from start to completion
Candidate Profile
We are looking for someone who is:

Experience & Skills
Core:
- 5+ years in executive assistant, operations, or similar high-responsibility role
- Experience supporting senior leadership or founders
- Strong written communication
- High proficiency with Microsoft 365, project tools, and documentation systems
Preferred
- Experience with grants, SR&ED, or government funding programs
- Exposure to marketing coordination or campaign execution
- Background in engineering, technical services, or consulting environments

Compensation
- $75,000 – $95,000 depending on capability and experience
- Performance bonus tied to execution and impact
- Growth path into Chief of Staff / Head of Operations
