Role Overview
The Event Planner plays a key role in coordinating and managing various aspects of event planning and execution. This position works closely with the Executive Producer and Senior Event Producer to ensure all elements of the event are organized, on track, and executed to a high standard.
This is a detail-oriented, execution-focused role suited for someone who can manage multiple moving parts while maintaining clarity and organization.
Responsibilities
Event Planning & Coordination
- Support the planning and execution of corporate events from initial stages through to onsite delivery
- Assist in developing and maintaining event timelines and planning documents
- Coordinate logistics across multiple event components
Vendor Management
- Communicate with vendors and assist in coordinating timelines, deliverables, and schedules
- Ensure all vendor requirements and deadlines are tracked and met
- Support vendor onboarding and coordination
- Support execution of the event program and run of show
Client Support
- Assist in tracking client deliverables and timelines
- Coordinate logistics related to client activations and branding
Documentation & Systems
- Maintain and update key event documents including:
- Master timeline
- Run of show (ROS)
- Vendor tracker
- Speaker tracker
- Ensure all information is accurate and up to date
Onsite Execution
- Support event setup, coordination, and breakdown
- Assist in managing event flow and resolving issues as they arise
- Ensure all event components are executed according to plan
Requirements
- 2–5+ years of experience in event planning or coordination
- Experience with corporate events or conferences preferred
- Strong organizational and time management skills
- Ability to manage multiple tasks and deadlines
- Excellent communication and problem-solving skills
Nice to Have
- Experience with registration platforms (e.g., Cvent)
- Familiarity with production elements (AV, staging, logistics)
- Experience working on large-scale events
Compensation
- $25-$30/hour or per-event contract (based on experience and scope)
