Job Title: Dental Hygiene Treatment Coordinator

Location: Dental Office – Ontario

Schedule: Monday to Thursday + 1 Friday and 1 Saturday per month

We are currently seeking a Dental Hygiene Treatment Coordinator who is highly organized, confident with patients, and driven to ensure all diagnosed treatment is scheduled promptly and efficiently.

Position Overview

The Dental Hygiene Treatment Coordinator plays a key role in converting diagnosed treatment into booked appointments, supporting hygiene flow, and ensuring patients understand and proceed with recommended care. This role bridges clinical recommendations and patient scheduling while maintaining accurate tracking and follow-up systems.

Key Responsibilities

  • Review hygiene charts daily for diagnosed treatment needs
  • Ensure all treatment is booked before patients leave the office
  • Present and explain treatment estimates clearly and confidently
  • Track unbooked treatment using office tracking systems and binders
  • Follow up with patients who:
  • Require estimates
  • Cancel treatment without rebooking
  • Have outstanding recommended care
  • Maintain weekly follow-up protocol for unbooked treatment and estimates
  • Work closely with hygienists and doctors to support schedule efficiency
  • Help fully book provider schedules by managing outstanding treatment
  • Support hygiene room flow and appointment readiness
  • Ensure accurate documentation and patient communication in the software
  • Assist front desk team as needed to support patient flow

Ideal Candidate

  • Dental office experience required (hygiene or treatment coordination preferred)
  • Strong understanding of dental treatment and terminology
  • Confident discussing treatment, finances, and scheduling with patients
  • Highly organized with strong follow-up habits
  • Comfortable working with tracking systems and reports
  • Team-oriented with excellent communication skills
  • Detail-oriented and proactive
  • Ability to manage multiple tasks in a fast-paced environment
