JOB DESCRIPTION
The Operations Coordinator plays a key role in ensuring smooth day-to-day business operations. This role involves coordinating administrative tasks, supporting project execution, managing communication between departments, and maintaining operational efficiency across the organization.
Role & Responsibilities
- Back-office operations: Handle day-to-day administrative and operational tasks to ensure smooth workflow.
- Email communication: Manage professional correspondence with clients and internal teams, ensuring clarity and timeliness.
- Quotation preparation: Draft quotations, maintain related records, and ensure accuracy in documentation.
- Excel reporting: Perform data entry, create reports, and manage tracking sheets using MS Excel (including formulas, VLOOKUP, Pivot Tables).
- Word documentation: Prepare documents, reports, and maintain proper filing systems.
- Department coordination: Collaborate with different teams to support operational activities.
- Task management: Ensure timely completion of assigned tasks and provide regular updates.
Preferred Candidate Profile
- Communication skills: Strong ability in email drafting, coordination, and professional interaction.
- MS Excel expertise: Knowledge of formulas, formatting, VLOOKUP, Pivot Tables, and data handling.
- Quotation/documentation: Experience in preparing quotations and maintaining accurate records.
- MS Word proficiency: Skilled in preparing structured reports and documents.
- Independent operations: Ability to manage back-office tasks with minimal supervision.
- Typing accuracy: Good typing speed with strong attention to detail.
- Coordination skills: Effective in follow-ups and cross-departmental collaboration.
- Educational background: Graduate/Undergraduate with relevant experience preferred, 2+ years experience with strong computer knowledge are welcome to apply.
