About the Role

As the Administrative Assistant at a luxury condominium in Arlington, VA, you will play a central role in keeping operations running smoothly while supporting a high standard of service for residents and ownership.

This is a full-time, on-site position supporting the General Manager across property operations, administrative systems, and resident communication. You are the connective tissue behind the scenes, ensuring that details are handled, communication flows, and nothing falls through the cracks.

What You’ll Do

Support the Operation

  • Partner with the General Manager to support daily property operations
  • Assist with inspections, vendor coordination, and ongoing projects
  • Help manage maintenance requests to ensure timely resolution and clear communication

Keep Things Organized

  • Maintain accurate records, files, and documentation across contracts, reports, and correspondence
  • Update internal systems and databases with precision
  • Support budget preparation, purchasing, and inventory tracking

Coordinate the Details

  • Assist in scheduling vendors, services, and front desk coverage
  • Coordinate move-ins, move-outs, and large deliveries
  • Help maintain the property calendar and track key operational deadlines

Communicate with Purpose

  • Welcome new residents and support onboarding communication
  • Assist with building updates, notices, and resident correspondence
  • Support preparation of reports and materials for Board meetings

Be a Steady Presence

  • Support emergency response coordination when needed
  • Help ensure policies and procedures are followed consistently and professionally
  • Contribute to a culture of accountability, respect, and service

What You Bring

Experience

  • 2 to 4 years of administrative, operations, or property management experience preferred

Skills

  • Strong organization and time management, with the ability to handle multiple priorities
  • Clear and professional communication, both written and verbal
  • Sound judgment and problem-solving ability

Tech Savvy

  • Comfortable with Microsoft Office and database systems
  • Ability to learn property management and operational software quickly

Work Style

  • Detail-oriented and reliable
  • Able to work independently while supporting a broader team
  • Professional, calm, and solutions-focused

Capability

  • Comfortable working on-site in a professional office environment
  • Able to walk the property as needed and lift up to 50 lbs

Schedule & Compensation

  • $20 per hour
  • Full-time, 40 hours per week
  • Monday through Friday, 8:00 AM to 4:30 PM with a 30-minute lunch break
  • On-site role in DC
  • Occasional evening meetings may be required and will be compensated accordingly
