Job Description
The Administrator, Finance performs a wide range of projects and assigned tasks in support of the functions of Finance, Accounting, IT and Facilities Management. Reporting to the CFO, the Operations Coordinator will assist in planning and executing the activities that align with the departmental goals.
Essential Functions
- Drive the activities that impact the sustainability of the organization including budgeting and business analysis under the direction of the CFO
- Create and edit presentations and materials using PowerPoint and Excel to be viewed by CEO and Board of Directors
- Organize meetings of Audit & Risk Committee and Finance & Investment Committee of the Board of Directors as directed by the CFO to include schedules, logistics and agendas
- Draft memos, letters, minutes, policies, and instructions
- Allocate corporate credit card expenses to the proper cost centers
- Coordinate with Facilities Team on office renovation projects and communication with the landlord
- Assist and take lead in certain areas of the organizational budget as directed by the CFO
- Utilize the financial reporting tool for budget management and cost analysis
- Coordinate with budget owners on implementing the shared service arrangements between the organization’s two legal entities
- Schedule and plan departmental meetings, events, and celebrations
- Help the department and personnel operate efficiently and identify areas of improvement in “getting things done”
- Assist the CFO with planning and execution of workspace assignments; Update and maintain office floor plans
- Serve as a POC for teams when multiple units are assigned to the same project to ensure team actions remain in synergy
- Supervise contractors and vendors as needed. Manage contracts with vendors by assigning tasks and communicating expected deliverables
- Perform quality control on the project throughout development to maintain the standards expected
- Performs other duties as assigned
Background/Skills/Abilities Preferred
- Bachelor’s degree or equivalent experience in business, education, or communications required
- Minimum 2 years’ experience in office operations, office administration or facilities
- Intermediate to Advanced skills in PowerPoint and Excel with a desire to continually improve skills in those two software
- Ability to Learn and the organization’s financial reporting tool for budget management and cost analysis
- Ability to define problems and manage toward solution
- Detail oriented, creative problem solver with a natural curiosity to challenge ways of thinking
- Effective interpersonal communication skills
- Ability to prioritize and manage multiple projects and people simultaneously, and follow through on issues in a timely manner
- Ability to work and collaborate as a part of a motivated, driven team
- Ability to communicate effectively with multiple levels within the corporate community, including but not limited to CFO and C-suite officials, HR directorates, and operations managers
- Ability to make sound business decisions based upon data

CFP Board is an Equal Opportunity Employer. The applicable starting annual base salary is anticipated to be in the range of $55,000.00 to $65,000.00. In addition to base salary, total compensation includes incentive compensation for which employees are eligible based on completion of individual goals.
