Position Summary

The Business Systems Analyst, reporting to the Associate Director of Project and Service Management and under the direct oversight of Project Managers, serves as the central liaison, consultant, and trusted advisor between the college's business areas and IT. This role is crucial in translating business needs into effective technical solutions. The analyst identifies and analyzes both business and technical requirements, recommending new or revised solutions to address business challenges.

As the primary support for the college's software products, the Business Systems Analyst guides the strategic direction of collaborative efforts and system functionality. They work closely with multiple business area teams to document system scenarios and develop quality assurance plans tailored to user needs. Additionally, they gather and analyze technical requirements, write technical reports and specifications, and provide technical advice and quality assurance as needed.

Responsibilities

  • Lead and facilitate meetings with business users to elicit, analyze, and communicate requirements, while advocating for best practices.
  • Gather, analyze, and translate technical requirements into business requirements, producing detailed technical reports.
  • Consult with business areas to develop process maps and workflows that illustrate desired outcomes, and recommend optimal technical solutions supported by data-driven cost-benefit analyses.
  • Provide guidance and support to IT staff and business end users to troubleshoot and resolve technical issues.
  • Analyze change requests by examining code and system functionality to determine impacts, and track and monitor tasks and stakeholders to address bottlenecks or escalations.
  • Oversee documentation processes, ensuring project completion through user sign-off.
  • Prepare, create, and maintain technical and business requirements, processes, and quality assurance documentation.
  • Execute quality assurance activities to minimize errors and service interruptions, including "what-if" scenario mapping, risk mitigation, and thorough review of features, functionality, and code before deployment.
  • Ensure system usability and functionality for college staff, potential students, and agents.
  • Implement and maintain content management strategies, policies, and procedures, managing and sourcing content requests as needed.
  • Develop and lead usability testing to ensure content integration, authentication, and structure are secure and effective.
  • Contribute to the development and implementation of IT roadmaps that reflect both current and future business needs.
  • Train and mentor users on new systems, tools, and processes, ensuring a smooth transition and maximizing user adoption.
  • Manage relationships with external vendors, ensuring that their solutions align with business needs and that service level agreements (SLAs), statement of work (SOW), contracts are met.
  • Develop and deliver training materials and workshops to educate business users on new technologies, processes, or systems.
  • Ensure that the systems and solutions delivered provide a positive user experience, are intuitive, and meet user needs.
  • Gather user feedback post-implementation to assess system usability and make iterative improvements.
  • Provide ongoing support to project teams by troubleshooting issues, addressing concerns, and ensuring alignment with project goals.
  • Perform other related duties as required.

Qualifications/Experience

  • Four-year degree or a post-graduate certificate with a focus on Information Technology, Computer Science or relevant field of study
  • Business Analysis and/or PMI certification preferred
  • Minimum five (5) years’ relevant experience in a Business Analyst/Systems Analyst role in an information technology setting, together with experience in managing customer relationships and project coordination
  • Proven experience managing customer relationships with business and IT stakeholders
  • Proficient with Microsoft Office: Project, Visio, and SharePoint
  • Proven experience in technology process mapping, business process mapping and workflow
  • Experience with Student information systems, basic SQL, HTML, and Portal technology authentication, (distribution, group collaboration and channel management)
  • Experience delivering quality assurance best practices and procedures for information systems and services
  • Excellent oral and written communication skills
  • Demonstrated independent judgment, analytical and problem-solving skills
  • Shows strong initiative and interpersonal skills
  • Ability to work independently as well collaboratively within a highly diverse team environment
  • Ability to work with and navigate ambiguity
