POSITION SUMMARY

BOT VFX, a visual effects services company with global clients, is looking for a Training Coordinator- Intern as a full-time role. The position is based out of Chennai as a Work From Office role.

The core purpose of this role is to assist with training coordination, manage attendance, and prepare facilities. Under direct guidance, the candidate will facilitate training, coordinate session delivery, support the recruitment and screening process, and manage day-to-day internship operations.

POSITION RESPONSIBILITIES

• Facilitating training and coordinating the location delivery of sessions while supporting the selection process and training need analysis.
• Updating trackers and generating reports with guidance and support, including joinee and exit updates in all trackers, training session attendance reports, and foot-fall analysis to report to stakeholders for improvement.
• Supporting training facility management for all domains (L&D, ICPT, ET) and coordinating with admin and other departments as required for regular training.
• Ensuring targeted candidates for training receive prior intimation on upcoming sessions.
• Coordinating with training leads and creative department leads to follow up on the progress of planned training with guidance.
• Maintaining trackers to record progress and informing training leads and other TLD members of the progress daily.
• Conducting and supporting regular one-on-one sessions and supporting the recruitment of trainers.
• Supporting the organization and planning of studio visits for partnering institutions and supporting the identification of institutions pan India.
• Supporting the organization of virtual training for partnering institutions.
• Scheduling and conducting screening of candidates for internships, maintaining the screening tracker in the given format, and organizing next-level interviews with trainers/departments as per guidance.
• Ensuring selected candidates receive prior intimation on their joining date and supporting coordination with admin for accommodation.
• Distributing and maintaining access cards for interns, ensuring that they are returned before the internship is completed.
• Supporting the onboarding of interns and the internship completion interview process, including maintaining accurate records.
• Supporting attendance management, payroll processing, engagement activities, and event management for interns.
• Supporting the happiness index tracking and counseling of interns, trainees, and trainers, alongside assisting the training team with other works.

REQUIRED SKILLS

• Experience: No prior experience is required
• Training Coordination: Basic understanding of training coordination, managing attendance, and preparing facilities.
• Data & Tracking: Ability to update trackers, maintain records in given formats, and generate reports under guidance.
• Communication & Coordination: Good communication skills to interact with interns, trainers, department leads, and admin teams.
• Organizational Skills: Ability to handle screening schedules, send prior intimations, and manage logistics like accommodation and access cards.
• Interpersonal Skills: Empathy and approachability to support student engagement, happiness index mapping, and counseling support.
